Job Description We are seeking a compassionate, adaptable, and team-oriented individual to join our team. As the first point of contact, you will play a vital role in creating a welcoming and supportive environment for our clients, many of whom are elderly or individuals with disabilities. This role requires patience, empathy, and the ability to handle each interaction with care while also working closely with our staff to keep operations running smoothly. The ideal candidate is someone who thrives in a people-centered position, handles challenges with grace, and enjoys creating a positive experience for everyone who walks through our doors. The ability to merge self-sufficiency with teamwork is vital to succeeding in this role. Key Responsibilities include, but are not limited to: • Front Desk and Client Interaction: Greet and assist visitors, clients, and families with warmth and professionalism., • Communication Duties: Answer, screen, and direct phone calls to the appropriate staff members. Communicate effectively and professionally with clients, court personnel, and other legal professions, both in person and through written or verbal correspondence. Prioritize communications and ensure timely, professional responses to phone messages, emails, and other written correspondence., • Client Intake and Support: Conduct initial intake for prospective clients, including screening for suitability to our firm’s services, providing information about our legal services and fees, and guiding prospective client through required paperwork., • Calendar and Scheduling Coordination: Manage multiple calendars, including scheduling client meetings and tracking important dates, court notices, deadlines, and other time-sensitive obligations of the firm., • Administrative and Legal Support: Assist attorneys and other legal assistants with a variety of tasks, including, but not limited t,o administrative duties, drafting and preparing legal documents, filing, data collection and data entry., • File and Records Management: Maintain and organize both physical and electronic case files to ensure accuracy, accessibility, and compliance with confidentiality standards., • Dependable, punctual, and committed to maintaining high standards of accuracy., • Compassionate and professional approach when interacting with people of all backgrounds., • Proficient in Microsoft Office Suite (Word, Excel, Outlook)., • Strong organizational skills and attention to detail., • Ability to manage multiple tasks, prioritize effectively, and meet deadlines., • Flexibility and willingness to adapt to shifting priorities and changing workflows., • High School Diploma or Equivalent; Higher Education a Plus.
