Job DescriptionDillman & Dillman, LLC dba 3D Claim Solutions 3dclaim.com Job SummaryThe Administrative & Claims Support Coordinator provides comprehensive administrative, claims, financial, and backend support to ensure smooth daily operations and efficient claim handling. This role is essential in managing documentation, coordinating schedules, supporting claim file setup and processing, and assisting with finance and compliance-related tasks. The ideal candidate is highly organized, detail-oriented, and comfortable working across multiple functional areas in a fast-paced environment. We are looking for an autonomous problem-solver to support the day-to-day operations of a growing business. Key ResponsibilitiesAdministrative & Office Support • Manage mail, document control, and shared communications, • Coordinate calendars, meetings, agendas, travel, and internal events, • Serve as primary call handler and office operations support, • Maintain office supplies, equipment, and general upkeep, • Track deadlines and assist members with HR documentation and compliance Claims Administration Support, • Manage lead data, client intake, contracts, and onboarding documentation, • Open, maintain, and organize claim files, deadlines, and required notices, • Upload and manage claim documentation data, • Support document collection and claim packet assembly, • Prepare, proofread, and format correspondence, • Assist in the coordination of vendor scheduling, inspections, and compliance requests, • Set up clients with claim payment processing, • Assist with claim call‑ins and third‑party documentation requests Finance & Accounting Support, • Create and maintain invoice templates and assist with payment tracking, • Assist with payroll processing for hourly staff and contractors, • Reconcile expense reports and assist in processing employee reimbursements, • Assist with payroll administration and benefits‑related documentation, • Support compliance and reporting for 401(k), 1099, W‑9, and year‑end tax documentation Backend & Special Projects, • Track and manage professional licenses and related requirements, • Support employee and contractor onboarding processes, • Assist with basic social media support when required, • Provide general backend and operational support as needed (ad hoc) Required Qualifications, • Proven experience in administrative, operations, or support roles, • Strong organizational and document management skills, • Excellent written and verbal communication skills, • High attention to detail and ability to manage multiple priorities, • Proficiency in office productivity tools and document management systems, • Ability to handle confidential information with professionalism, • Flexibility to work in a changing environment Preferred Qualifications, • Experience in property insurance, claims, legal, construction, or professional services environments a plus, • Experience coordinating vendors or external service providers, • Basic accounting, payroll, or bookkeeping support experience Work Environment & Expectations, • Fast-paced, deadline-driven environment, • Collaborative team setting, • Full-time/Part-Time applications will both be considered, • 401k matching, • Paid time off and paid holidays, • Sick leave and other paid or unpaid leave as required by law
