Our client, Wilshire Law Firm, has engaged us to place a seasoned, highly professional, high-performing, polished, proactive, resourceful, detail & result oriented, tech-savvy, and discreet individual in the role of Executive Assistant (EA) to support the Founder/CEO. Wilshire Law Firm is a high-growth, nationally recognized plaintiffs' firm built on performance, discipline, and execution. The Founder and CEO is a relentless operator who moves fast and expects the same from his closest collaborators. This is an on-site, no remote, no fluff type of role, and will be based out of the Beverly Hills office, with travel to the Downtown L.A. office as needed. We’re seeking an elite-level, career Executive Assistant ready to operate at the top of their game — someone who can keep pace, think ahead, provide airtight support that enables focus, velocity, and results, and is unflappable under pressure! This isn’t a passive, calendar-wrangling role. You’ll partner with the current EA (based at the Downtown L.A. office) to be the CEO’s right hand — embedded in the heart of the business — proactively managing priorities, solving problems, and eliminating friction. You must thrive under pressure, protect the CEO’s time like a hawk, and operate with absolute precision and discretion. This role requires 24/7 on-call access/availability/mentality, and the EA must be comfortable working evenings and weekends as needed, and have a willingness to travel up to 25% of the time. The ideal candidate has a “type-A” work style, positive attitude, dedicated work ethic, high personal standards of integrity, is emotionally intelligent, composed, sharp, confident, tactful, driven, a go-getter, has a passion for excellence, and the ability to anticipate needs before they arise! The ability to seamlessly manage both professional and personal needs/requests is key (approx. 90% EA, 10% PA, but can fluctuate), as it all blends together and they’re equally demanding. Location: Beverly Hills office (working within the Los Angeles area) Key Responsibilities Include (but not limited to): • Manage the CEO’s time with strategic calendar control, travel logistics, and meeting prep, scheduling across professional and personal domains, ensuring seamless coordination, prioritizing the most time sensitive matters as scheduling conflicts & last minute requests arise, and ensuring all documents are prepared in advance of meetings, • Own complex travel, hospitality, and personal logistics with concierge-level precision; Ensure seamless travel experiences with contingency planning for last-minute changes or disruptions; Maintain travel documentation, memberships, and preference profiles, • Filter and route high-volume communications with judgment and clarity, • Draft, edit, and manage high-stakes correspondence and internal documents, • Coordinate internal/external meetings, calls, events, and social engagements, ensuring logistics are smooth and well-documented; Gather background information, draft agendas, prepare materials and presentations, and send reminders as needed, • Join critical meetings to take notes, follow up, and ensure accountability, • Anticipate needs before they arise — calendar conflicts, deliverable deadlines, missed handoffs, • Create systems to track key priorities, meeting outputs, and action items, • Act as the CEO’s air traffic control — protecting focus while keeping the business moving, • Maintain confidentiality at all times — no exceptions, • Provide personal assistance as requested About YOU: • You have a “no task is too small”, “figure it out” mentality, and service-oriented attitude., • You thrive in a high-level support role, have experience providing support at a very high level, make things happen and get things done, • You’re highly proactive with strong organizational & project management skills, reflecting the ability to perform & prioritize multiple concurrent tasks as the executive’s priorities dictate, • You have strong time management skills & don’t need to be micromanaged in order to execute, • You’re forward thinking, intuitive, anticipate and try to always remain steps ahead of your executive’s needs, • You’re driven, confident & diligent, have impeccable attention to detail and strong follow through, • You have a professional demeanor, and a high level of emotional intelligence and professionalism, • You’re flexible/adaptable and have the ability to pivot as needed, • You’re honest, display a high level of personal accountability and responsibility, utilizing tact, discretion and good judgment at all times, especially when exposed to confidential or sensitive matters, • You’re a smart self-starter, productive, highly organized, and work well independently, • You’re resourceful, show initiative, have strong decision-making capability & a proactive approach to problem solving, • You have strong interpersonal skills, and the ability to “read the room”, • You’re humble, and a great team-player willing to jump in where needed to get things done, • You have excellent written & verbal communication skills, • You have a good history of job stability, strong references & are looking for a long-term career Experience/Education: • Minimum 5+ years supporting a demanding CEO or Founder; Experience supporting high-net-worth/ultra-high-net-worth or high-profile individuals is a plus!, • Tech savvy; Proficient in Microsoft 365 and modern productivity tools; Able to type 40+ WPM with strong documentation skills, • Bachelor’s Degree preferred Compensation/Benefits: • Annual Salary: $190,000-$250,000 DOE, • Firm-paid medical (HMO), with optional upgrades; Low-cost dental & vision coverage, • 9 paid holidays; 15 days PTO, • Firm-paid life and AD&D insurance, • 401(k), FSA, EAP, and pet insurance, • Employee referral bonuses Note: We appreciate your interest in this opportunity & review all submissions.
