Job Description FLSA Status: Exempt The Executive Administrator provides high-level administrative, strategic, and project management support to the executive team. This person ensures the executive team's priorities are maintained and organizational objectives are met by supporting strategic projects, public affairs issues, and providing legal analysis. This role requires a candidate with strong analytical skills to effectively contribute to the organization’s strategic plan, public policy initiatives, and public relations and community relations efforts. Paralegal experience or demonstrable work in managing legal inquiries and responses is required. This is a hybrid position that requires balancing remote and in-office work. In-office days will vary based on team and project needs. Responsibilities: Strategic Planning and Public Affairs • Serve as a strategic partner to the executive team by maintaining and organizing a centralized strategy list and ensuring projects stay on timeline., • Track and analyze public affairs issues, including local, state, and federal policies, and create briefing documents with political and legal analysis for the executive team., • Attend meetings with FilmLA or Industry, taking detailed notes, and providing summaries with timeline impacts and analytical insights., • Support the VP, Integrated Communications with PR firms, collaborating on external communications to align with organizational goals and public perception., • Assist in the concept and execution of low-impact filming permits by coordinating with internal and external stakeholders., • Provide high-level administrative support, including calendar management, correspondence, presentations, and meeting preparation., • Act as a gatekeeper, screening calls and requests while exercising sound judgment and discretion., • Conduct legal analysis and research on relevant issues, drawing on experience to assist in evaluating contracts, policy changes, and potential risks., • Draft, review, and edit confidential legal documents, reports, and correspondence on behalf of the executive team., • Support key executive initiatives through problem-solving and workflow management., • Facilitate efficient information flow between the executive team., • Prepare and manage special projects and events, ensuring they meet objectives and deadlines., • Develop efficient systems for time management, communication, and information dissemination., • Bachelor's degree required; a paralegal certificate or equivalent legal background is essential., • Minimum of 3–5 years of experience in an executive administrative or project management role, preferably in a public-facing, legal, or governmental environment., • Proven analytical skills, with the ability to research complex topics and consolidate findings into concise reports., • Exceptional written and verbal communication skills, including the ability to draft high-level correspondence and public-facing statements., • Expertise in Microsoft Office Suite., • Strong political acumen and an understanding of public policy dynamics., • Excellent organizational and time management skills, with meticulous attention to detail., • High level of discretion and the ability to maintain confidentiality. FilmLA was created when the City and County of Los Angeles decided to privatize their film permit offices, allowing more flexibility in providing services to production companies and local communities. Although FilmLA is funded primarily by permit coordination fees paid by production companies, ongoing community relations is a key component of the service we provide. We work to strike a balance between the needs and interests of the entertainment industry and the neighborhoods affected by on-location production.
