Job Description P Bilingual Surgery Scheduler / Front Desk Receptionist / Medical Assistant (Back Office Fill-In) – Full-Time Position Job Description: We are seeking a mature, motivated, and well-organized Bilingual Surgery Scheduler / Front Desk Receptionist to join our team in a full-time capacity. The ideal candidate will be a reliable, detail-oriented individual who thrives in a fast-paced medical office setting. This role primarily focuses on surgery scheduling and front desk operations, with the added flexibility to fill in as a Back Office Medical Assistant when needed. This is a full-time position, ideal for someone who values work-life balance and is looking to be part of a supportive, patient-focused environment. Approximately 75-80% of your time will be dedicated to surgery scheduling, with the remaining time focused on front desk responsibilities such as answering phones, verifying insurance, and preparing daily schedules. You will also serve as a backup Medical Assistant to support clinical operations during staff absences or high patient volume periods. Job Hours/Shift: * Monday – Thursday: 8:00 AM – 5:00 PM (30-minute lunch break) * Friday: 8:00 AM – 2:00 PM (30-minute lunch break) * No weekends or on-call duties * 38–40 hours per week Compensation & Benefits: * Competitive hourly rate (DOE) * Free parking * Paid holidays * Supportive team environment Key Responsibilities: Surgery Scheduling: * Schedule surgeries and procedures based on physician availability and patient needs * Provide pre-operative instructions and ensure completion of all necessary documentation * Verify insurance coverage and obtain prior authorizations as needed Front Desk Reception: * Greet and assist patients in a professional and friendly manner * Answer incoming calls, schedule appointments, and direct inquiries appropriately * Prepare schedules and documentation for upcoming appointments Patient Coordination: * Communicate with patients regarding appointment times, surgery instructions, and follow-ups * Maintain accurate and up-to-date patient records Insurance Verification: * Verify insurance eligibility and benefits * Obtain authorizations for procedures and communicate coverage details to patients Back Office Medical Assistant (Fill-In As Needed): * Assist with rooming patients, taking vitals, and preparing exam rooms * Assist physicians with in-office procedures as needed * Ensure accurate charting and EMR documentation * May include handling clinical calls, prescription refills, or assisting with patient education * Experience in Pain Management is a plus Bilingual Communication: * Communicate effectively with English and Spanish-speaking patients regarding appointments, procedures, and medical information Administrative Tasks & Compliance: * Check-in/check-out patients, collect co-pays, and update patient information * Maintain organized surgical schedules and ensure HIPAA compliance and confidentiality at all times Required Qualifications: * High school diploma or equivalent (additional certification in medical office administration or medical assisting is a plus) * Minimum 2+ years of experience in a medical office, preferably in surgery scheduling or front desk roles * Bilingual fluency in English and Spanish (written and spoken) * Proficient in Microsoft Office; experience with EMR and scheduling software preferred * Strong organizational skills, attention to detail, and the ability to multitask * Knowledge of insurance verification and authorization processes * Medical Assistant experience (back office) preferred for fill-in coverage * Must live within a 30–45 minute commute of the office * Dependable, punctual, and a positive “can-do” attitude Physical Requirements: * Ability to sit or stand for extended periods * Occasional lifting (up to 15 lbs) * Ability to assist patients in wheelchairs * Comfort with patient interaction in person and by phone If you’re passionate about patient care, highly organized, and bilingual, this is an excellent opportunity to grow with a supportive and dedicated healthcare team.
