Job Description Job Title: Parts Coordinator I DAVIE FL $19/hr 9am-5:30pm Job Description The Parts Coordinator I masters the end-to-end process of ordering, receiving, and issuing parts in the correct quantities, at the right time, and in proper condition. This role maintains accurate inventory control, supports order fulfillment, and serves as a liaison between the parts and purchasing teams while clearly communicating updates and issues to internal and external customers. Responsibilities • Add unfilled items from sales orders and technician requests to the weekly parts order to ensure timely availability of required components., • Review and confirm pro forma invoices (PI) to verify data accuracy, including thorough price checks, and create corresponding purchase orders (POs)., • Update point-of-use (POU) systems with commercial invoices (CI) received from factories to keep records current and accurate., • Maintain well-organized digital and physical documents, including POs, PIs, and CIs, filed under the correct factory folders., • Provide accurate shipping documents to the warehouse team to support efficient receiving and put-away processes., • Promptly communicate any discrepancies in received parts to appropriate stakeholders for timely resolution., • Accurately process technician incidents and customer orders to support effective order fulfillment., • Collaborate with the warehouse team on physical inventory counts to verify stock levels and identify variances., • Perform system adjustments in the warehouse management system (WMS) and Sage to ensure system quantities mirror physical inventory., • Photograph, upload, and map parts using North 49 to maintain a clear and accessible parts catalog., • Efficiently handle internal emails and general inquiries, providing timely and professional responses to internal and external customers., • Maintain cleanliness and organization of department supplies and work areas to support a safe and efficient operation., • Follow all safe working practices and policies within both the office and warehouse areas., • Act as a liaison between parts and purchasing departments, supporting order fulfillment and order entry processes., • Use email to communicate updates on parts availability, order status, and issue resolution to internal teams and customers., • Support cycle counts, picking, packing, shipping, and receiving activities as needed to ensure smooth parts operations. Essential Skills • Demonstrated warehouse and inventory experience, including inventory control and cycle counting., • Proficiency in data entry with strong attention to detail and accuracy., • Experience with order fulfillment, order entry, picking, packing, and stocking., • Ability to work with shipping and receiving processes and related documentation., • Solid computer skills, including strong knowledge of Microsoft Excel with the ability to track data using filters and create charts., • Familiarity with writing working Excel formulas to support reporting and project completion., • Ability to maintain a well-organized Outlook account, including managing email status, scheduling meetings, and tracking project-related communication., • Experience using ERP or similar systems for inventory, order management, and data entry., • Customer service orientation with the ability to communicate clearly and professionally via email., • Strong time management skills with the ability to prioritize tasks in a fast-paced environment., • Ability to learn parts-related information and product details quickly., • Comfort working both at a desk and in a warehouse environment, including basic material handling tasks. Additional Skills & Qualifications • Experience with warehouse management systems (WMS) and Sage or similar platforms., • Familiarity with North 49 or comparable tools for photographing, uploading, and mapping parts., • General proficiency in Microsoft Office applications beyond Excel, such as Word and Outlook., • Clerical experience related to documentation, filing, and record keeping., • Experience with packaging and material handling in a warehouse environment., • Ability to collaborate effectively with cross-functional teams, including warehouse and purchasing., • Capacity to work efficiently in a fast-paced environment while maintaining high accuracy., • Strong organizational skills to keep documents, emails, and inventory records current and orderly. Work Environment This role operates in a combined office and warehouse setting, with approximately 70% of the time spent at a desk and 30% in the warehouse. The office area is climate-controlled with air conditioning, while the warehouse is open-air. You will work a consistent Monday through Friday schedule from 9:00 a.m. to 5:30 p.m. with a 30-minute lunch break. The position uses technologies such as Microsoft Office (including Excel and Outlook), ERP systems, WMS, Sage, and North 49, as well as standard office and warehouse equipment. Job Type & Location This is a Contract to Hire position based out of Davie, FL. Pay and Benefits The pay range for this position is $17.00 - $19.00/hr.
