The Executive Assistant is responsible for providing support services to the President and Executive Staff. Responsibilities include, but are not limited to, typing/word processing, calendar applications, proofreading, preparing reports, processing correspondence, scheduling meetings, recording minutes at meetings, receiving visitors, maintaining files and conducting special projects, as assigned. Handling a large volume of incoming telephone calls in a professional and courteous manner. Interacts with the public, employees and physicians in a professional manner. Job Summary: Under the direction of the Chief Executive Officer (CEO), the Executive Administrative Assistant provides high-level administrative support to hospital leadership, including the Chief Operating Officer (COO), Chief Financial Officer (CFO), the Executive Leadership Team, and Board of Directors. Responsibilities include but not limited to simultaneously managing multiple tasks and projects with competing priorities and deadlines, screening, and prioritizing communication from external and internal sources, manage executive team calendars, coordinates board and leadership meetings, prepares confidential reports and presentations, and serves as a liaison with physicians, staff, and community partners, scheduling meetings, recording minutes at meetings, receiving visitors, maintaining files and contracts. Handling a large volume of calls in a professional and courteous manner. Interactions with the co-workers and the public in a professional and respectful way. Requires exceptional professionalism, discretion, and the ability to anticipate the needs of executives in a dynamic healthcare environment. The incumbent will carry-out duties by adhering to the highest standards of ethical and moral conduct, acts in the best interest of Three Crosses Regional Hospital, and fully supports the mission, vision, and values of Three Crosses Regional Hospital. Primary Responsibilities • Prepares reports, memos, letters, and other documents for the Executive Team, • Use judgment in assessing the urgency and relevance of problems and matters brought to the Executive Team., • Compiles, edits, and prepares documents, correspondence, and presentations. Independently creates and edits draft material, processes final documents, and arranges for distribution., • Coordinate communications, including taking calls, responding to emails, and interfacing with clients., • Proactively bring together appropriate people or resources to support the CEO and Executive Team in addressing the needs of TCRH., • Manage the CEO’s and Executive Teams schedule to include coordinating arrangements for the CEO and guests, manage preparation materials for meetings, equipment, travel, and expenses as necessary, • Manages daily schedules aligning with current priorities and deadlines., • Establish and maintain effective working relationships and act as a liaison with TCRH executive leadership team, Board of Directors, and committee members., • Schedule meetings including planning for food or other items as part of the meeting and maintaining the calendar for the conference rooms., • Develop and maintain a system that alerts the CEO and Executive Team of upcoming deadlines, incoming requests, and events., • Remain knowledgeable about strategic goals and issues of importance to the CEO’s office in order to make informed decisions in all aspects of the job., • Facilitate communication for the CEO and Executive Team., • Attend staff meetings as needed., • Demonstrate critical thinking, time management and problem-solving skills., • Excellent verbal and written communication (including documentation) skills., • Excellent relationship management with patients, families, and care providers, • Required Associate Degree in Business Administration or related field or equivalent combination of Education and Experience, • Required: Meet all Employee Health Requirement
