Grant Coordinator - Extension HNES The Grant Coordinator is responsible for financial, budgetary, and human resource responsibilities for the ND Lives Well grant. The role provides support throughout the unit they serve at the direction of the Principal Investigator (PI) of the grant. The role is responsible for providing business operations support in a timely and accurate manner and in compliance with all applicable institutional, NDSU, State, and Federal regulations, policies, and guidelines. Budget Management/Financial Reporting: Support all activities related to the management of grant expenditures: • Track and maintain budget spent throughout the fiscal year, • Process budget adjustments in consultation with the PI, • Provide periodic and timely reports to PI and funders, • Provide projected financial analysis of financial reports to assist the PI with the strategic and long-term planning of the grant, • Provides monthly financial reports that would include tracking expenses, revenues, and other financial sources., • Provides support for monitoring grant and funding for the ND Lives Well grant. Accounting Transactions: Manage grant accounts payables/receivables activities:, • Initiate the need for accounting activity and complete forms in compliance with NDSU policies or request form completion by the Accounting Service Center portfolio assignment, • Approve expenditures for appropriate funding and compliance, • Monitor and reconcile general ledger accounts, • Work with individual departments to resolve problems or errors, • Work collaboratively with Accounting Service Center personnel Human Resources and Payroll: Manage unit level payroll activities:, • Prepare and submit for processing all human resources and payroll forms (i.e. payroll change forms, funding changes, retro distributions) for faculty, staff, graduate assistants, temporary employees, and students, • Ensure accurate position budgeting for position postings in Recruiting Solutions., • Assist with the annual salary adjustment review and process, • Review and reconcile payroll reports for accuracy and submit corrections timely, • Assist Principle Investigators with effort/project payroll certification coordinated through Grant & Contract Accounting, • Collaboratively work with Human Resource, Payroll, Budget, Grant & Contract Accounting, and Graduate School departmental personnel in the processes Support other financial activities within the unit as needed:, • Assist with records management for the grant, • Perform other duties as assigned by the PI Customer Service: Serve as the point of contact for assigned departments:, • Contribute to an environment of cooperative, supportive, and positive working relationship with co-workers and departmental personnel, • Respect and value the creativity and diversity of all persons, • Resolve differences constructively. Use tact and courtesy, especially under stress, • Work ethically, respect confidentiality, and adapt to change, • Provide prompt and effective service through appropriate action to resolve issues Core Competencies:, • Ability to use data to make comparisons, perform verification and reconciliations, and compile reports, • Experience with accounting principles, processes, and budget management, • Demonstrated knowledge of complex computerized accounting and human resources systems, • Strong analytical and analysis skills and the ability to communicate using data, • Excellent interpersonal, oral and written communication skills, • Demonstrated ability to provide exceptional level of customer services to a broad variety of contacts and build strong positive working relationships across the organization, • Knowledge of policies and regulations of GAAP and financial related policies, rules and regulations., • Computer skills (ability to use spreadsheets, word processors, databases, etc). Advanced Microsoft Word and Excel experience is required Minimum Qualifications:, • Bachelor's degree or;, • Associates degree with 3+ years direct experience or;, • 5+ years direct experience within a higher education setting that provides the incumbent with the knowledge, skill, and ability to successfully perform the job Preferred Qualifications:, • Major Field of Study or Degree Emphasis: Business, Accounting, or related field., • PeopleSoft/Oracle experience, • Experience in a higher education setting, • Knowledge of Extension and their services, • Knowledge of policies and regulations of grant sponsored accounting and/or federally funded programs, • 3-5+ years of progressively related financial/budget management experience in a complex organization Pay is based on experience. This is a part-time or temporary non-benefited position. Pay is based on several factors, including budget, labor market, prior experience, skills, knowledge, abilities, education, licensure and/or certification and other business considerations.
