Job Description Job Title: Administrative Receptionist Job Description The Administrative Receptionist serves as the central point of contact for the insurance office, managing inbound calls, supporting commercial lines processing staff, and providing broad administrative support. This role requires strong organizational skills, professional communication, and the ability to handle multiple tasks efficiently while maintaining accuracy and a high level of customer service. Responsibilities • Serve as the primary receptionist for the office and act as the go-to contact when colleagues need assistance., • Answer and manage an average of approximately 50 inbound phone calls per day using a multi-line (5-line) phone system., • Provide professional, courteous customer service to clients, visitors, and internal staff., • Support commercial lines processors and other office staff with administrative and coordination tasks as needed., • Work extensively with Microsoft Outlook to schedule events, manage calendars, and coordinate meetings., • Use Microsoft Word and Excel to create and format documents, tables, and charts, and to support reporting and data tracking needs., • Perform accurate data entry and maintain records with a focus on quality and consistency., • Assist with basic processing and underwriting-related administrative tasks as directed., • Prepare, organize, and maintain documentation and reports to support business operations., • Engage in significant planning and coordination activities to ensure smooth office workflow., • Collaborate with team members across all areas of the company to support daily operations and special projects., • Maintain a professional demeanor and uphold the organization’s core values in all interactions. Essential Skills • At least one year of experience working in a business or office setting., • Strong customer service skills with the ability to communicate clearly and professionally in person and over the phone., • Proficiency in using a multi-line phone system, preferably a 5-line phone., • Ability to manage a high volume of inbound calls while maintaining composure and professionalism., • Proficiency with Microsoft Outlook for scheduling events and managing calendars., • Proficiency with Microsoft Word and Excel, including creating tables, charts, and formatted documents., • Accurate data entry skills with a demonstrated ability to maintain at least 80% accuracy in typing assessments., • Excellent verbal and written communication skills., • Strong multi-tasking abilities and the capacity to prioritize tasks effectively., • Solid organizational and planning skills to support a busy office environment., • Attention to detail in handling documents, reports, and customer information. Additional Skills & Qualifications • Experience in reception, secretarial, or administrative support roles., • Demonstrated reliability, hard work, and loyalty in previous roles., • Ability to build strong relationships with team members across different departments., • Interest in growing into a processing role or other internal opportunities as skills and experience develop. Job Type & Location This is a Contract to Hire position based out of Fargo, ND. Pay and Benefits The pay range for this position is $18.00 - $19.00/hr.
