Job Description Job Title: General Manager FLSA Status: Exempt Full-time Summary: Responsibilities for the General Manager include strategizing business operations, improvement and maintenance of administrative processes, implementing systems, overseeing the functions and health of the repair shops and road team departments, analysis and monitoring of payroll costs, and leading managers through the practice of strategic planning. This position is a direct extension of ownership with the expectations of upholding company values and goals. Duties and Responsibilities: Implementation, enforcement and regulation of systems to achieve most efficient production and performance in each department. This involves shop, road team, and administrative departments with reference to computer software and programs, departmental manual guides, empowering and developing managers, gaining knowledge of all company aspects to help target growth opportunities. Below is a breakdown of responsibilities: · Oversight of the managers and employees by providing continuing education, training, and resources in a guiding, supportive role. · Responsible for presenting the staffing needs of the company to ownership as they arise. Will assist with candidates for hire. Communicating the needed positions to HR, reviewing potential candidates, participating in interview process with managers/owners, extending job offers with compensation package details. · Must perform employee onboarding procedures for new hires. Will ensure that employees are prepared to start with the company with an understanding of our most important policies and procedures. Will review major points of our company handbook, schedule the training schedule with Managers, and perform 3-month Introductory Review for progress. · Ensuring required performance reviews are being completed by management by assisting with the completion, scheduling, and follow up in coordination with Human Resources. · Confirmation that disciplinary verbal or written documentation is being submitted to HR department for review and filing. Will utilize our HR legal support at Paychex for accurate, up to date information regarding labor laws and proper procedures to follow. · Review and distribution of monthly schedules that are created by the managers. · Responsible for PTO requests (approval or denial) submitted by employees. Must review with managers and confirm schedules are sufficient and shifts are covered. · Assist with time clock management including entering missed punches, maintenance of employee schedules in Paychex Flex, and running weekly payroll in conjunction with ownership. · Monthly review of payroll amounts for each department (Administrative, Road Team, Harlem Shop, Hopkins Shop, Rochester Shop). Analysis of overtime according to departments and making suggestions or changes on scheduling of staff. · Scheduling, planning, and presentation of management meetings and team meetings. · Monthly building/site inspections for safety, cleanliness, order, and maintenance concerns. (OSHA compliance, fire safety, emergency procedures, etc.) in coordination with Property Maintenance. · Assisting with guidelines and necessary filings in reference to our fleet and emergency road team vehicles. This includes DMV, DOL, DOT, NYS, etc. required permits, insurances, certificates, reports, licenses, to remain in compliance with the law. · Oversight of both repair shops and road team operations. Focus will be on overall performance of techs, tow operators, service writer, parts advisor, dispatchers, maintenance/shop aides, and managers. Assessment of the accuracy, communication between departments, morale, and general well-being of the company is an essential part of this job. · When delegating tasks, projects, or responsibilities, follow up of progress and completion on a weekly basis with ownership is required. · Chain of command updated as necessary with staff changes and proper distribution to Managers. Enforce that proper chain of command is being practiced by all staff. · Must use company given email and cellular phone for all work-related electronic correspondence. · Maintain an overall orderly and organized work station and office environment. · Other duties may be assigned as needed during company growth or restructuring. Qualifications: To perform this job successfully, an individual must be able to perform each essential duty. These requirements include the ability to read and interpret documents, reports, and correspondence. Computer qualifications include the knowledge of Paychex software, Word, internet navigation, email applications. Employee must be willing to learn new software programs and have the capacity to teach team members those applications. The ability to apply common sense understanding to carry out instructions in written and oral form. Must be able to multi-task while maintaining structure. Ability to work independently while achieving goals for company and oneself. Capable to communicate effectively, verbally and written, with agents, customers, vendors, representatives, managers, employees, and all others involving business operations. General Manager must possess leadership skills for positive influence on other team members: knowledge of productive conflict resolution, ability to “agree to disagree”, composure during times of stress, and to lead by example and uphold the high standards that the company is recognized for. Build trust with the team, customers, vendors and business associates. Solid presentation skills and ability to explain ideas and processes to a group. Time management skills will aide in completing all assigned duties within allotted time. Enhancing efficiency, company image and resources to achieve best possible growth and success for the employees and customers. Must be diligent with enforcing and maintaining high standards, even under high pressure situations. Expected to be dependable, respond well to executive direction, and make any performance improvements discussed as needed. You will be required to sign a confidentiality agreement and hold high regard to the sensitive nature involving MERJ Fleet Services’ financials. Education/Experience: BS/BM degree in Business Management or minimum of seven years of experience in a managerial role within the industry of trucking, heavy diesel repair, or fleet logistics. Physical Demands: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of the General Manager. While performing the duties of this job, the employee is regularly required to sit/stand at a computer and desk, navigate the shops and properties including parking lots, and must travel by car between shop locations. Individual must also be able to lift up to 50lbs. This job description is subject to change with the needs of the company. It is a fast paced environment that can become demanding, especially in our busiest season of Buffalo winters!!
