Job Description Job Title: Capital District Youth Soccer League Operational Director Job Time: $37.5 hours per week (Holidays and Personal Time) Job Description: The responsibilities of the CDYSL office shall, but not limited to, general office and secretarial duties; progressing the registration materials of all clubs, teams and players for championship, including select players, tournament teams, Permission to Host Tournaments, Permission to Travel teams; the recording and processing of all fees, fines and other costs submitted to the League and any disbursements made on behalf of the League that are not handled by the financial management of the CDYSL website. Primary Duties and Responsibilities are listed below, but are not limited to, based on office staffing. Ultimately, it is the responsibility of the League Operational Director to verify that all assigned tasks to office staff are completed in a timely manner. External Duties and Responsibilities * Manage and nurture strong positive communication between club members/coaches/teams/referee association and CDYSL office staff with Executive Director and League President on a regular basis. * Maintain collaborative positive relationships with member clubs to keep them informed of the work of CDYSL and gather knowledge to influence CDYSL ongoing development of programs and services. * Promote League events, registration, and sponsorship opportunities within the community. * Act as the main point of contact for all member related inquiries outside of league coordination with a positive and professional manner. * Act as the main point of contact for formal complaints and ensure complaint is directed to the appropriate committee, and Executive Director/League President. General Duties and Responsibilities * Notify Executive Committee of monthly meeting dates, time, location, and include important documentation for the meeting one (1) week ahead of the scheduled meeting. * Notify all Member Soccer Clubs, CDYSL representatives and Club Presidents of scheduled CDYSL general board meeting date, time, location and include important documentation for the meeting one (1) week ahead of the scheduled meeting. * Notify all Member Soccer Club's representatives and Club Presidents of annual AGM $\pm$ to fourteen days ahead of the day as per By-laws. * Respond to all emails and phone calls within 24-48 hours. * Ensure that staff understands and adheres to league policies and procedures. * Ensure CDYSL's physical spaces are safe and inclusive. * As a member of the senior leadership team, contribute to a positive team culture with staff, club members, and club members. * Work alongside and support the Executive Director and President with annual reports, day to day logistics, operation functions and office staff compliance. * Ensure all League operations align with policies, safety guidelines, and state/national soccer organization regulations. * Attend and administrative meetings and workshops when required and submit reports to Executive Director and President with necessary information. League Duties and Responsibilities * Create and manage the league's schedule, tournaments, League events including game dates, times, and locations, as well as cancellations and reschedules. If another office staff member is assigned to the above tasks, the League Operational Director monitors the progress of the task, so that it is completed on time. * Create and manage seasonal programs in a timely manner. If another office staff member is assigned to the above tasks, the League Operational Director monitors the progress of the task, so that it is completed on time. * Manage/Assist the Office staff to manage player registrations and completion of official team rosters, ensuring compliance with league rules and regulations, and handling team rosters in a timely manner. A timely manner will be considered $\pm$ fourteen days ($\pm$ 14 days). * Support any game day rosters changes/requests made by teams alongside assigned office staff members. * Support and assist the research and development for operational efficiencies and automation, including CDYSL management software, Got sport and demo sphere along with the Communication/IT Director. * Manage CDYSL's website for updated and correct information Weekly. * Ensure CDYSL's operational rules, policies and procedures are updated and support the effective operation of the office and organization. * Collaborate with the Communication/IT Director, Executive Director, and League President to create a League Calendar and Structure that aligns with the budget and strategic plan. * Manage contracts, permits, field usage, and maintenance coordination with various service providers and ensure effective operations of the organization. * Project and secure annual facility requirements to support CDYSL league programs within the required time frame. i.e. fall ball, AGM, Board meetings, etc... * Ensure the Executive Director and League President are provided with the appropriate and accurate facility contract information to develop the league schedule. * Contribute and participate in weekly/bi-weekly/monthly staff meetings. * Attend and ensure smooth execution of CDYSL events such as tournaments coaches' meetings, workshops and other soccer related activities. * Attend CDYSL's Annual General Meetings, Special General Meetings, or other meetings. * Work alongside and support the Executive Director and League President with annual reports. * Support Executive Director, League President, Executive Committee members, and other Committee Chairs with other general tasks, as needed. * Manage/assist designated office staff with team payment requisitions and submit to the Director of Finance within five business days. * Manage/oversee the reconcile Team accounts and payments alongside designated office staff. * Oversee and ensure accurate records of all Players, Coach information. Including but not limited to risk management, grass-root licensing and ENYYSA required certificates.
