Job Description Assistant Office Manager/Accounting Manager/Marketing Manager Looking for a reliable, well-organized Assistant Office Manager to handle day-to-day operations in our firm located in beautiful downtown Ft. Worth. The Assistant Office Manager will be responsible for assistance with accounting functions, streamlining administrative procedures, inventory control, office staff supervision and task delegation. The role will also involve managing the Firm's online profile, LinkedIn accounts, and marketing efforts. We’re looking for an energetic professional who is a team player and doesn’t mind wearing multiple hats. Responsibilities & Objectives: · All A/P and A/R functions, including legal time entry, generating monthly billing, paying vendors and generating reports · Daily banking and process credit card payments · Payroll processing · Write, revise and maintain company policies and procedures as needed · Organize and compile monthly/weekly performance reports · Monthly reconciliation of bank accounts, ledger account reconciliations and monthly entries · Generate all internal financial reports using Quickbooks and TABS and produce quarterly fiscal reports for the bank · Supervise office staff and assist in organizational training and development · Manage expense tracking and reimbursements · Point person for all firm vendor relationships · Facilities management and coordination including managing office equipment and trouble shooting · Conduct new employee orientation/on-boarding tasks and exit interview/separation tasks when needed. Post job ads and screen applications when needed. · Administer benefits, including enrollments, changes, claim resolution and terminations when needed · Counsel employees on benefits and coordinate with benefits broker to respond to questions/issues · Maintain employee records, directories, benefits tracking · Manage various association renewals · Manage office supplies and equipment supply inventory · Coordinate Firm meetings, events and parties · Manage the Firm's marketing efforts, including online marketing and event sponsorships · Answer phones and process mail as needed · Other related duties as required and assigned by Partners Qualifications: · Bachelor degree or equivalent experience/combined education required; with a minimum of 4 years of experience in office management or accounting · Holding a CPA license is not required, but CPA's are encouraged to apply · Organized, energetic and self-directed with a professional appearance · Proficient in Microsoft Office applications · Accounting skills and experience using Quickbooks (knowledge of TABS billing software also a plus, but not a requirement) · Excellent interpersonal, written and verbal communication skills The ideal candidate will have excellent interpersonal and communication skills for interacting with teammates as well as clients. Candidate should be very well organized and be able to effectively manage multiple tasks.
