Job DescriptionJob SummaryWe are seeking a motivated and outgoing Administrative Assistant to join our team. In this role, you will provide support to our office employees, ensuring they have all the information and resources they need to perform their best. Your responsibilities will include answering phone calls, scheduling appointments, planning meetings, and writing correspondence. The ideal candidate is highly organized with excellent written and signing communication skills and a friendly demeanor. Essential Responsibilities· Assist Executive Director with relevant day-to-day activities as requested. · Receive clients, staff, volunteers, and visitors upon arrival and departure.· Handle incoming video/relay calls, emails, and other communications for the agency and staff.· Provide general clerical duties such as copying, filing, information entry, and mail.· Coordinate and schedules appointments, meetings and other arrangements as needed.· Oversee the volunteer training and assignments.· Maintain office environment, equipment, supplies and inventory.· Monitor office safety and communication systems.· Respond to inquiries and informational requests.· Record keeping, security and maintenance of all agency tracking systems.· Additional responsibilities deemed necessary to the agency’s functioning and operations. Job Description OVERVIEW: This is a part-time position, 30 hours per week. The hours are Monday – Friday, 12 – 6 pm. The Administrative Support Specialist provides administrative and clerical support across multiple departments. This role plays a key part in keeping daily operations running smoothly by filling in where needed, supporting the Executive Director, Board of Directors, fund development, special events, volunteer activities, and program teams. The ideal candidate is organized, detail-oriented, and comfortable juggling a variety of tasks and priorities. Key Responsibilities General Administrative Support • Provide clerical and administrative assistance to Executive Director, Board of Directors and other department/directors as needed, • Assist with managing in-kind donations and relationships with external sources, • Assist with data entry and database management related to donors and event participants, • Support logistics and administrative prep for special events, • Serve as backup to the receptionist for 1–2 hours daily, or more as needed, • Fill in as needed across departments for general clerical tasks, • Assist with maintaining office supplies and organization, • Perform other administrative tasks to help ensure smooth operation of programs and office functions as assigned QUALIFICATIONS: • High school diploma or equivalent required; associate degree or administrative training a plus, • 1–2 years of administrative or office support experience, • Strong computer skills, including Microsoft Office Suite (Word, Excel, Outlook); experience with donor or CRM databases a plus, • Excellent attention to detail and organizational skills, • Ability to work independently and prioritize multiple tasks, • Strong interpersonal and communication skills, • Ability to handle confidential information with integrity., • Must have access to a vehicle and telephone and possess a valid Driver's license with a driving record acceptable to agency insurance carrier. Our goal is to help transform lives and restore confidence so that each child can lead a productive and fulfilling life. Position: The Administrative Development Assistant will work under the direction of the Executive Director (ED) supporting day-to-day operations that include administrative tasks, mission planning, basic bookkeeping, special events, and maintaining a confidential donor database. This position works closely with teams of volunteers and committee members. This position will require 32 hours per week, but during events, the hours may increase. Administrative Job Responsibilities, • Ability to develop and sustain excellent working relationships with individuals, volunteers, and businesses., • Maintain calendar and arrange meetings and appointments as requested, including logistics, materials, minutes, and notices., • Manage Board of Directors’ meetings, including preparation of meeting agenda and materials., • Distribute Board meeting minutes, board resolutions, committee and other reports, calendars of upcoming events, etc. Coordinate dinner, presentations, call-in instructions, and technology needs., • Assist the ED in conducting preliminary grant and donor research., • Develop and carry out an efficient documentation and filing system, both electronic and hard copy filing., • Complete basic bookkeeping tasks, including processing donations and invoices., • Research and acquire data to prepare documents for review and presentation by Board of Directors, committees, and executives., • Open, sort and distribute mail, incoming faxes, emails, and other correspondence., • Use various software, including word processing, QuickBooks, spreadsheets, databases, and presentation software.
