Job Description ABOUT US The West Side Federation for Senior and Supportive Housing, Inc. (WSFSSH) is a community-based organization responding to the need for low-cost housing. Our mission is to provide safe, affordable housing with supportive services within a residential setting that enhances the independence and dignity of each person. WSFSSH develops, manages, and provides social services in housing for low-income persons, especially those who are older, who have experienced homelessness and who live with mental illness. Job Summary The Compliance Manager is responsible for coordinating facilities operations, vendor management, regulatory compliance, and capital project readiness across numerous senior supportive housing sites. This role works closely with the Director of Facilities, program staff, vendors, and city agencies to ensure buildings remain safe, compliant, and well-maintained. Please Note: This is a full-time position (5) days a week on-site. Job Duties & Responsibilities Responsibilities include but are not limited to: Facilities & Preventive Maintenance • Maintain and update the preventive maintenance database for all buildings, • Track and schedule backflow inspections and required follow-ups, • Monitor kitchen compliance requirements and expiration dates of relevant equipment, • Track local law inspections and assist with completion of required work, • Maintain building contact lists and track staffing changes for site contracts, • Coordinate vendor meetings with the Director of Facilities, • Schedule and manage vendor site visits with property management staff and facilities managers, • Review vendor contracts in collaboration with the Director of Facilities, • Add and maintain vendor insurance documentation through third-party systems, • Create bid analyses for work order and project requests, • Manage violations and code compliance, including:, • Tracking, managing, and reconciling NYC violations (DOB, DOH, HPD, ECB) for all WSFSSH buildings, • Monitoring violation status and coordinating removal efforts in collaboration with WSFSSH’s violation consultant, • Ensuring ongoing compliance with NYC DOB, ECB, DOH, and HPD requirements, • Submit correction certifications and action plans to compliance departments, • Coordinate with the WSFSSH Accounting Department to reconcile open vendor invoices and ensure timely payments, • Assist the Insurance Department with claims, documentation, and related facilities matters, • Complete HPD Annual Property Registration for all WSFSSH buildings (approximately 30 buildings), • Submit bedbug reports through required portal systems, • Track fire drills and coordinate scheduling with vendors and program staff, • Assist with Local Law compliance work and documentation, • Support capital project planning by coordinating approvals, vendors, and timelines, • Send reminders to staff regarding required training and compliance deadlines, • Schedule meetings for the Director of Facilities, • Prepare and distribute meeting agendas and minutes for departmental meetings, • Coordinate cross-department communication between facilities, programs, and leadership, • Strong knowledge of NYC regulatory agencies (DOB, HPD, DOHMH, DEP, FDNY), • Experience managing vendors, inspections, and compliance documentation, • Strong organizational, tracking, and follow-up skills, • Knowledge of facilities operations and compliance in multi-unit residential or supportive housing settings, • Familiarity with NYC inspections and agencies (DOB, HPD, DOHMH, DEP, FDNY) a must, • Ability to coordinate vendors, inspections, and projects, • Strong organizational, tracking, and follow-up skills, • Ability to review bids, contracts, and compliance documentation, • Strong communication and documentation skills, • Proficiency with Microsoft Office and tracking systems, • A problem solver with exceptional project management skills and multitasking abilities, • Bachelor’s degree in Facilities Management, Business Administration, Construction Management, or related field preferred or High School Diploma/Degree with 5-7 years’ experience in facilities operations, property management, business administration or housing compliance, • Experience in senior supportive housing or nonprofit low-income housing environment highly valued, • Experience coordinating vendors, inspections, and regulatory requirements, • Proficiency with Microsoft Office and compliance or tracking systems, • Ability to sit, stand, and walk for extended periods, • Ability to lift and carry light materials (up to 25 lbs.), • Ability to use a computer and communicate effectively, • Travel within our sites, as needed Westside Federation of Senior & Supportive Housing offers full-time employees a comprehensive choice of benefits that include Medical, Dental, Vision, 403 (B) retirement savings, Flexible Spending Accounts (FSA), Life & Disability, Short-term and Long- term Disability, Employee Assistance Program (EAP) commuter benefits and more Voluntary benefit options and Time Off that includes 11-12 paid Federal Holidays, accrued Vacation and Sick Time.
