Role Overview The Operations Specialist is a critical member of the wealth management team, responsible for ensuring the smooth, accurate, and compliant execution of day-to-day operational activities. This role supports advisors by managing client onboarding, account administration, financial planning support, trading coordination, reporting, and internal workflows—allowing advisors to remain focused on delivering high-quality advice and solutions. This role is designed as a career development position. The individual will begin by building deep expertise in wealth management operations and client service, with increasing exposure to financial planning, investment strategy, and client relationships. As experience, proficiency, and licensing milestones are achieved, the role is intended to evolve into a Junior Advisor position, supporting client meetings, contributing to planning recommendations, and gradually assuming advisory responsibilities. The ideal candidate is detail-oriented, proactive, client-focused, and motivated to grow into an advisory role within a collaborative, high-performance environment. Key Responsibilities Client Onboarding & Implementation • Own the end-to-end client onboarding process, including account setup, documentation collection, and adherence to regulatory requirements., • Ensure timely and accurate implementation of new client relationships and investment strategies., • Serve as a key point of coordination between advisors, custodians, and clients during onboarding. Account Administration • Maintain client accounts and process transactions such as deposits, withdrawals, transfers, and required minimum distributions (RMDs)., • Ensure accuracy, documentation completeness, and compliance with firm and regulatory standards. Financial Planning Support (Foundational to Advisor Development) • Enter, update, and maintain client financial planning data within financial planning software., • Assist advisors with data gathering, plan updates, scenario modeling, and preparation of financial planning deliverables., • Ensure planning data is accurate, current, and aligned with custodial and CRM records., • Over time, develop an understanding of planning strategies, assumptions, and client-specific considerations. Trading & Investment Operations • Assist with trading activity, including trade preparation, execution support, rebalancing coordination, and trade confirmations in accordance with firm policies., • Monitor trade activity for accuracy and completeness and help resolve discrepancies as needed., • Support ongoing portfolio maintenance activities in collaboration with advisors and investment management partners. Investment Research Support • Assist with investment research, data gathering, and analysis related to investment options, model portfolios, and performance., • Prepare investment-related materials and summaries to support advisor recommendations and client discussions., • Maintain investment-related documentation and research files., • Gradually build knowledge of portfolio construction and investment rationale. Reporting & Meeting Preparation • Prepare client account, transaction, performance, and planning reports., • Produce high-quality materials for client meetings, including quarterly investment reviews and financial planning presentations., • As development progresses, assist with meeting agendas, follow-ups, and action items. Client Service & Communication • Deliver exceptional, professional client service in alignment with firm protocols., • Communicate with clients regarding account activity, transaction confirmations, and service requests., • Over time, participate in client meetings in a support role and handle routine client inquiries under advisor guidance. Compliance & Risk Management • Adhere strictly to internal compliance procedures and regulatory guidelines., • Assist with compliance efforts related to trading, documentation, and client servicing., • Remain informed of regulatory changes affecting wealth management operations. Document, CRM & Workflow Management • Maintain organized, secure electronic client files and records., • Manage CRM data integrity, workflows, and opportunity tracking., • Support process consistency and scalability as the firm grows. Advisor Support, Process Improvement & Special Projects • Provide administrative and operational support to wealth management advisors., • Assist in documenting and improving operational, planning, and investment workflows., • Take ownership of special projects and firm initiatives as assigned. Career Development & Growth Path This position is intended to evolve into a Junior Advisor role based on performance, demonstrated competency, and business needs. As the individual progresses, responsibilities may expand to include: • Increased participation in client meetings, • Drafting financial planning recommendations and summaries, • Supporting ongoing client relationship management, • Developing communication skills related to planning and investment concepts Qualifications & Experience • Bachelor’s degree in finance, business administration, or a related field preferred., • 1–3+ years of experience in wealth management, financial services, or investment operations preferred (flexible for strong entry-level candidates)., • Series 65 required or willingness to obtain within a defined timeframe., • Strong organizational skills with exceptional attention to detail., • Clear, professional written and verbal communication skills., • Ability to work independently while collaborating effectively with a team., • Proficiency in Microsoft Office, CRM systems, financial planning software, and investment platforms., • Experience with Black Diamond and Charles Schwab platforms preferred., • Understanding of trading workflows, portfolio management processes, and investment concepts., • Working knowledge of regulatory and compliance standards in financial services., • High level of integrity, discretion, and commitment to confidentiality., • Strong desire to learn, grow, and pursue a long-term career as a financial advisor.
