Job DescriptionSenior Coordinator for SchoolsJob Description Support for the Assistant Superintendent Reports to: Assistant Superintendent Purpose Provide high-level administrative, operational, discipline, data, and project support that extends the work of the Assistant Superintendent and increases her capacity to focus on principal coaching and instructional and cultural leadership. This role executes follow-through, manages systems, and supports campus-level work under the direction of the Assistant Superintendent, including targeted support for high school development and serving as a delegated representative when timely action is needed. Primary Function This role strengthens the effectiveness of the Assistant Superintendent by managing discipline processes, supporting high school development, coordinating communication, organizing data, supporting operational systems, and ensuring smooth execution of campus initiatives. When appropriate, this position may act as a delegated representative to ensure decisions, communication, and follow-through happen without delay. Core Responsibilities 1. Discipline and Scholar Services Support • Manage expulsion and discipline documentation, statements, and legal compliance., • Schedule and support discipline hearings and family meetings., • Track discipline trends and prepare weekly reports., • Communicate follow-up actions to principals and ensure deadlines are met., • May serve as a point of contact for discipline when delegated. 2. Executive and Communication Support • Filter incoming emails, draft responses, and manage communication on behalf of the Assistant Superintendent., • Maintain and organize the Assistant Superintendent’s calendar, scheduling, priorities, deadlines, and meetings., • Book events, coordinate logistics, and ensure smooth planning for school visits, walkthroughs, trainings, and leadership meetings., • Keep major priorities and timelines visible, organized, and on track., • Anticipate scheduling needs and ensure the Assistant Superintendent is prepared for each meeting, walkthrough, or event. 3. Administrative Support for the Assistant Superintendent • Manage communication flow across campuses and departments., • Attend principal coaching meetings, capture action items, and support principal follow-through., • Prepare agendas, documents, reports, and communication drafts., • Coordinate walkthrough schedules and school visit logistics., • Support planning and logistics for network-wide events, PD days, and major initiatives. 4. Academic and Culture Data Support • Maintain dashboards and slide decks for academics, culture, attendance, and discipline., • Support CIP data collection and reporting., • Track KPIs across campuses and flag areas needing attention., • Ensure principals submit required data and reports on time., • Support assessment coordination tasks such as schedules, communication, and data uploads as assigned. 5. Campus Operations and Systems Support • Support operational routines, logistics, systems, and daily execution across campuses., • Build and maintain operations checklists, timelines, and follow-through systems., • Connect operational SOPs with academic and culture SOPs to streamline workflows., • Strengthen consistency in campus operations., • Update and maintain the Scholar Handbook each year to ensure clarity, alignment, and compliance across campuses., • Support Title 1 compliance by organizing required documentation, monitoring deadlines, and helping ensure all requirements are met., • Monitor attendance dashboards and communicate trends to the Assistant Superintendent and principals. 6. High School Development Support • Support the structure, systems, and routines needed for a growing high school program., • Help align culture expectations for the high school with the rest of the network., • Coordinate academic, operational, and culture systems specific to high school needs, including sports and organizations., • Track high school data and support school leaders in building consistent execution. 7. Systemizing and Streamlining SOPs • Create or refine SOPs and scorecards across departments and lanes., • Systemize workflows to simplify principal responsibilities., • Improve clarity, predictability, and execution within campus operations and academics., • Maintain an updated library of SOPs and ensure principals understand and follow them., • Maintain and update the Principal Year at a Glance so deadlines, expectations, and workflows remain clear and organized. 8. Family and Customer Service Support • Support the Assistant Superintendent in strengthening customer service systems across campuses., • Draft communication to families related to culture, behavior, events, or updates as delegated., • Track follow-up on family concerns and ensure principals close loops within expected timelines., • Help maintain consistent communication standards across campuses. 9. Delegated Leadership Support • Step in as the Assistant Superintendent’s delegate when immediate action is needed., • Represent the Assistant Superintendent in meetings, family conversations, discipline conferences, or walkthroughs., • Communicate decisions on behalf of the Assistant Superintendent when delegated., • Provide consistent direction to principals that aligns with leadership expectations., • Document all delegated actions and report back within 24 to 48 hours. 10. Professionalism and Confidentiality • Maintain strict confidentiality of scholar and staff information., • Represent Beta Academy with professionalism and warmth., • Uphold all policies, handbooks, and legal requirements.Key Performance Indicators (KPIs)Culture and Operations, • Consistent execution of operational systems across both campuses., • Walkthrough follow-up completed within required timelines., • All SOPs updated, systemized, and connected across lanes.High School Development, • High school systems stabilized and aligned with network expectations., • High school culture and operational routines executed with consistency., • High school data dashboard or slide deck updated on schedule.Discipline, • All expulsion and major discipline files completed on time., • Zero compliance issues.Administrative and Communication Support, • Ninety five percent of principal action items completed by deadline., • All scheduling and communications completed within expected turnaround times., • Zero missed follow-up items.Data and Reporting, • Academic, culture, attendance, and discipline dashboards updated by deadlines., • All campus data submissions at 100 percent completion.Family and Customer Service, • Family concerns tracked and closed with consistent follow-through., • Communication drafts and responses completed within agreed timelines.Delegated Leadership, • Delegated actions completed with accuracy and alignment., • Documentation of delegated actions provided within 24 to 48 hours.
