Please contact Human Resources for current information. SUMMARY/OBJECTIVE Assists the VP of Operations with overseeing the day-to-day operations of the Operations Department. Oversee related functions and activities and administer company policies and procedures. Accountable to manage the department and staff when the VP of Operations is absent. ESSENTIAL DUTIES AND RESPONSIBILITIES • Monitor/assist in the daily operations of the department in accordance with credit union policies and procedures. Ongoing review and analysis of all departmental procedures to identify areas of improvement. Work with the VP of Operations to ensure procedures are updated as needed., • Monitor departmental performance, identifying and facilitating opportunities to increase productivity and efficiency. Provide real-time feedback to staff directly, and coach staff on an ongoing basis. Provide feedback on staff performance appraisals., • Identify training opportunities within department. Provide supplemental training as needed. Ensure that information concerning products and services is correctly provided to staff through all communications., • Assist in the coordination of monthly departmental staff meetings. Document meeting/training staff attendance for record keeping. Attend company meetings and training as needed., • Assist the VP of Operations in department projects and initiatives as required., • Monitor and coordinate staff scheduling with the VP of Operations., • Monitor/assist in the daily activities of staff in daily core processing functions of all account/electronic servicing duties, and plastic cards., • Perform a weekly review of the negative balance report; review the monthly safe deposit box billing report, notices and exceptions; review monthly term certificate renewal reports and notices, as examples., • Assist in overseeing quality control and verifications within the document management system. Ensure that core system critical fields are reviewed weekly for accuracy and completion., • Monitor and assist in ensuring staff adhere to Regulation E (Electronic Funds Transfer Act); to include timely notifications and updates to members within the required time frame (notifications must be documented). Maintain monthly ACH monitoring logs and electronic monitoring logs., • Confirm and complete (as needed) the BSA reviews for new accounts, medium risk accounts and high-risk accounts. Ensure staff are assigned to complete the monthly red flag address change report., • Compliance with Bank Secrecy Act, OFAC and USA PATRIOT Act including accurate completion of CTR and Monetary Instrument Log, Member Identification Program, member due diligence, identifying high risk accounts, and reporting suspicious activities to Supervisor or BSA Officer. QUALIFICATIONS • High school graduate or GED. Bachelors preferred or some coursework/certificates., • Ability to use a computer, navigate the internet, and use common software applications like Microsoft Office (Excel, Word, Outlook, etc.) is required., • Minimum of three (3) years of customer service experience is required., • Minimum of two (2) years of supervisory service experience is preferred., • Prior experience working in banking or financial services is preferred. WORK ENVIRONMENT This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
