Position Summary The Warranty Administrator is responsible for managing all warranty-related requests, documentation, scheduling, and communication between home builders, customers, project managers, and field crews. This role coordinates and tracks warranty service work from initial request through completion while ensuring adherence to company standards, contractual requirements, and customer expectations. The Warranty Administrator ensures accurate record‐keeping, timely response and resolution of warranty claims, and efficient coordination of resources in a rapidly changing environment. Duties & Responsibilities Warranty Coordination & Administration • Receive, log, and track all warranty requests from builders, homeowners, and internal personnel., • Review job details, verify warranty eligibility, and interpret service needs accurately., • Create and manage work orders in company systems (e.g., Aspire or similar)., • Schedule warranty service work with appropriate crews, subcontractors, or team members., • Serve as primary point of contact for warranty claims, maintaining professional and proactive communication with builders, homeowners, and internal teams., • Provide clear instructions to field teams regarding work requirements, site conditions, and customer expectations., • Maintain accurate records for all warranty activities, including photos, notes, materials used, and resolution details., • Prepare and distribute regular reports on warranty trends, outstanding items, and completion metrics., • Work closely with Production Managers, Designers, Project Managers, and crew leads to schedule work and allocate resources., • Adjust schedules and priorities as needed to respond to urgent or high‐priority warranty issues., • Promote and enforce company safety policies and procedures for all warranty‐related work., • Verify that completed work meets company quality standards before closing warranty requests., • Identify recurring warranty issues and communicate trends to management., • Recommend process improvements to enhance warranty response time, customer satisfaction, and operational efficiency., • Participate in cross‐department collaboration to reduce warranty recurrence. Supervisory Responsibilities This position regularly interacts with company leadership, production managers, designers, crew leads, purchasing, and office personnel. The Warranty Administrator must consistently communicate in a respectful, diplomatic, and solutions‐oriented manner with: • Home builder representatives, • Homeowners (when applicable), • Internal personnel, • Vendors and subcontractors Required Qualifications • Strong written and verbal communication skills, • Exceptional administrative and organizational skills, • High attention to detail and accuracy in documentation, • Ability to multitask in a fast-paced, dynamic environment, • Strong customer service orientation, • Proficient with Microsoft Office (Word, Excel, Outlook), • Ability to read/interpret landscape plans, work orders, and site conditions (training provided) Preferred Qualifications • Experience in the landscape, construction, or home builder industry, • 1–3 years of warranty, administrative, or scheduling experience, • Bilingual (English/Spanish), • Familiarity with Aspire or similar field-service/CRM software, • Knowledge of landscape materials, installation practices, and equipment Work Environment • 40 hours/week with potential seasonal variability, • Primarily office-based with periodic field or customer visits, • Exposure to outdoor weather conditions when visiting sites, • Occasional lifting up to 30 lbs, • Frequent communication via phone, email, and in-person interactions, • We are a 100% drug-free company
