POSITION SUMMARY The Executive Assistant will play a critical role in supporting the Executive Director by ensuring efficient operations of the executive office and acting as a key liaison between the Executive Director, internal teams, Board of Trustees, and external stakeholders. This individual must exercise sound judgment, maintain strict confidentiality, and thrive in a fast-paced, mission driven environment. ESSENTIAL FUNCTIONS Executive Support * Manage the Executive Director’s complex calendar, schedule appointments and meetings, and coordinate travel arrangements if applicable. * Prepare materials, agendas, reports, presentations, and follow-up correspondence related to meetings and events. * Maintain and organize the Executive Director’s files and records with a high degree of accuracy and confidentiality. Board of Trustee Liaison: * Serve as the primary point of contact between the Executive Director and the Board of Trustees. * Coordinate logistics for Board meetings, including scheduling, preparing and distributing meeting packets, taking minutes, and ensuring timely follow-up on action items. Communication & Stakeholder Engagement: * Draft and proofread professional correspondence on behalf of the Executive Director. * Facilitate internal and external communications, ensuring messages are delivered clearly, promptly, and with professionalism. * Handle confidential donor, personnel, and organizational information with discretion. Project & Event Coordination: * Manage special projects and initiatives as assigned by the Executive Directors, including cross-departmental events and strategic planning sessions. * Track progress on action items and ensure deadlines are met. * Provide coordination and support for school-wide events, leadership meetings, and community engagement efforts. Administrative Operations: * Support the Executive Director in maintaining smooth departmental operations by assisting with administrative duties and ad hoc requests. * Assist with data entry and donor management systems as needed. OTHER FUNCTIONS Perform other related duties as assigned by the Executive Director. REQUIRED or DESIRED QUALIFICATIONS * Bachelor’s degree preferred. * Minimum of 3 years of administrative experience supporting senior leadership, preferably in a school, non-profit, or mission-driven organization. * Exceptional organizational and time management skills, with the ability to manage multiple priorities and meet tight deadlines. * Excellent verbal and written communication skills. * Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); experience with Google Workspace. * Demonstrated discretion and professionalism in handling confidential information. * Strong attention to detail, accuracy, and follow-through. * A proactive, solutions-oriented mindset with the ability to work independently and as part of a team. * Commitment to the mission and values of BBL and a passion for education and student success.
