Job Description PRIMARY FUNCTION: Directs and manages and is responsible of overall daily operations of the Club, with the primary concern for a comprehensive, outcome-driven program and service delivery for all programs. Also supervises and trains staff (direct and indirect reports), handles personnel issues, manages facility, develops and manages a budget, actively engages and supports Boys & Girls Clubs of Greater Oxnard and Port Hueneme’s Committee Teams, manages community relations, collaborate build and maintain relationships with contracted partners, volunteers, and membership administration (MyClub Hub). KEY ROLES (Essential Job Responsibilities): Leadership • Establish Club Center programs, activities and services that prepare youth for success and create, • An outcome-driven Youth Club experience that facilitates achievement of youth development, • Outcomes. Learn and Utilize BGCA programming., • Ensure that the members are encouraged to participate in a variety of fun program areas/activities and receive instruction and constructive feedback to develop skills in program area(s), • Implement Trauma-Informed Practices, • Ensure Club YDP staff complete all BGCOP & BGCA required Trainings, • Knowledgeable about all grant requirements, • Manage, supervise, and monitor daily grant contract program initiatives in relation and in collaboration with contracted agency. Manage grant requirements in compliance with grant assurance to satisfy grant scope of work, deliverables requirements. Maintain regular communication, oversee referrals, tracking and case management., • Demonstrate a commitment to continuous quality improvement by completing an annual site level program quality assessment and safety plan. In cooperation with VP of Programs Services & VP of Operations, develop individual development plans for all staff and trainings., • Ensure a healthy, safe environment, with well-maintained facilities, equipment and supplies., • Manage, supervise and formalize youth program initiatives including Brent’s Club, Kindness is Free, Torch Club. Assigned a Torch Club advisor, assist Torch Club in fundraising year-round to save for Torch Club Conference and other trips. Research other successful Torch Clubs to bring new ideas and direction., • Produce and post monthly program calendars for youth programs., • Utilize Youth of the MONTH – one male and one female to promote the BGCA initiatives for BGCOP Annual Youth of the Year program and Event. Promote program and selected youth on internal boards and in publication., • Ensure growth in daily attendance, registered members, and total youth served Maintain and file daily attendance reports., • Create and increase number of outreach opportunities, • Attend BGCOP meetings and prepare reports as needed. Participate in the BGCOP Committee Teams. Meet weekly with the Club YDP Staff; Utilize agendas and keep minutes. Discuss successes and challenges., • Ensure YDP Club staff understand and effectively communicate standards of program; that they ensure program areas are clean, safe, well ventilated, and well lit; and the Club equipment is maintained and in good working condition, • Mentor YDP Club staff to mentor skills and encourage members., • Prepare for staff and program openings and hiring of staff and volunteers. Interview, select, train and provide orientation to skilled staff able to implement a variety of programs. Conduct and complete Exit Interview form with exiting employees, • Work Club until closing each day, unless otherwise directed by supervisor., • Maintain all aspects of the facility including: janitorial, general maintenance, supply orders, grounds keeping, risk assessment, facility usage management, etc. Strategic Planning • Plan, develop, implement and evaluate Unit or Branch overall programs, services and activities to ensure they meet stated objectives and member needs and interests. Compile regular reports reflecting all activities, attendance and participation., • Work with Resource development team by meeting to discuss grant and sponsorship proposals. Track and maintain data for grant reports., • Complete the BGCA Annual Report and required Grant Reports., • Administer and complete National Youth Outcomes Initiative Surveys (NYOI)., • Work fundraising events as needed. Resource Management • Assist in the development of annual budgets. Control expenditures against budget., • Ensure administrative and operational systems are in place to maintain the operation of the Club’s physical properties and equipment, including use of facilities by outside groups. Ensure compliance with organization policies., • Recruit, manage and provide career development opportunities for branch staff and volunteers. Conduct regular staff meetings., • Create and communicate volunteer opportunities as needed and requested. Partnership Development • Develop partnerships with parents, local high schools, middle schools, community leaders and organizations., • Continually build relationships with other youth service organizations and collaborate with other agencies to share and develop programs Marketing and Public Relations • Develop and maintain public relations to increase the visibility of programs, services and activities within the Club and the community. Represent the BGCOP functions as directed. ADDITIONAL RESPONSIBILITIES: • Review and respond to e‐mails, voicemails and other forms of communication within one business day, • Participate in BGCOP organizational annual events, special community events, and fundraisers, • Purchase or approve purchase of supplies and equipment., • Work with staff on special events to carry out programs in all departments., • Exercise authority in problems relating to members; utilize guidance and discipline plan., • Assume other duties as assigned. RELATIONSHIPS: Internal: Maintain close, daily contact with Club professional staff to interpret and explain organizational mission, program objectives and standards, discuss issues, and provide/receive information. Maintain contact relationship with CEO and Board. Regular contact with members as needed to discipline, advise, and counsel. External: Maintain contact with external community groups, schools, members' parents and others to assist in resolving problems and to publicize Club. Requirements • Four-year degree from an accredited college or university, or equivalent experience, • A minimum of five-year work experience in a Boys & Girls Club or similar organization planning and supervising activities based on the developmental needs of young people, or equivalent experience, • Demonstrated ability in working with young people, parents and community leaders., • Demonstrated ability in personnel supervision, facilities management, recruitment and retention of key personnel, • Strong communication skills, both oral and written, • Ability to recruit, train, supervise and motivate staff, • Ability to deal effectively with members including discipline problems Problem solving, identify and resolve problems in a timely manner, gather and analyze information skillfully and maintain confidentiality, • Working knowledge of budget preparation, control and management, • Planning/organizing – prioritize and plan work activities and use time efficiently, • Dependability – consistently at work and on time, follow instructions, respond to management direction and solicit feedback to improve performance, • Adaptability – adapt to changes in the work environment, manage competing demands and able to deal with frequent changes, delays or unexpected events PHYSICAL REQUIREMENTS/WORK ENVIRONMENT: This position is a combination of standing or sitting for long periods of time to complete tasks or supervise staff and members. You may be required to independently lift packages up to 20lbs or more with the assistance of others. Schedule: Monday thru Friday, 10am - 6pm; occasional Saturday as required.
