We are seeking a highly skilled and experienced Executive Assistant to provide direct administrative support to our CEO. This role blends executive business support with personal/family office coordination, ensuring seamless operations at both the professional and personal level. The ideal candidate is proactive, highly organized, and able to manage competing priorities with discretion, sound judgment, and professionalism. This position requires a detail-oriented, resourceful individual who thrives in a fast-paced, entrepreneurial environment. Requirements: Why Join SBS? • A People-First Culture – We foster strong relationships, encourage learning, and celebrate achievements., • Impact-Driven Work – Support strategic leadership initiatives and high-impact projects that shape the future of our company., • Growth-Focused Environment – We invest in training, career development, and continuous improvement., • Manage the CEO’s calendar, schedule meetings, coordinate appointments, and resolve conflicts., • Primarily focused on the CEO, but also provides the CFO, Operations Manager, and HR with administrative support., • Coordinate domestic and occasional international travel (flights, lodging, detailed itineraries)., • Draft, proofread, and edit correspondence, reports, and presentations with accuracy and professionalism., • Screen and prioritize incoming calls, emails, and requests; respond or delegate as appropriate., • Serve as a liaison between the CEO and internal teams, external partners, and stakeholders., • Handle confidential business, personnel, and financial matters with discretion., • Track and organize executive-level projects, meetings, and deliverables., • Provide administrative support for personal and family office needs, including property management, event coordination, and investment administration., • Occasionally respond to urgent requests outside standard business hours., • Welcome and host visitors and guests on behalf of the Executive Office., • Anticipate needs of the CEO to ensure smooth daily operations and proactive support., • Perform additional duties and special projects as assigned. Qualifications • Minimum of 5 years supporting C-level executives in a similar role., • Exceptional verbal and written communication skills., • Advanced proficiency in Microsoft Office Suite; experience with virtual meeting tools (Teams, Zoom) and project management platforms a plus., • Demonstrated ability to manage multiple priorities and meet tight deadlines with accuracy., • Strong organizational skills, attention to detail, and high initiative., • Experience with event planning, travel coordination, and executive communications., • Professional presence, discretion, and commitment to confidentiality., • Adaptable, solution-oriented, and calm under pressure., • Comfortable working independently and collaboratively in a dynamic environment. Physical Requirements • Prolonged periods of sitting at a desk and working on a computer., • Occasional standing, walking, and lifting up to 25 pounds., • Ability to perform repetitive motions, including typing and using office equipment.
