Job Description Position Summary: AlphaStaffHCM is seeking a Payroll Specialist to process payroll for various client companies across multiple states, each with different pay frequencies. This role requires maintaining high-quality standards for all payroll transactions and ensuring that customer service levels meet organizational expectations. Responsibilities include, but are not limited to: • Processes and reviews initialized payrolls, identifying and correcting errors to ensure accuracy., • Provides pre-posting payroll reports to clients for review and approval., • Collaborates with IT by supplying specifications for customized client reports and performing QA testing to validate accuracy., • Prioritizes critical payroll maintenance needs and monitors client trends, including late submissions and recurring issues., • Supports ongoing enhancement initiatives for key systems, such as Prism, Cloud Storage, and Salesforce., • Responds to and resolves client payroll inquiries promptly and professionally., • Manages pay codes, job positions, pay locations, PTO adjustments, general ledger setups, and other ongoing client maintenance needs., • Delivers Raving Fans level customer service when assisting clients with payroll or system inquiries., • Utilizes Salesforce and Outlook to track and manage all open client issues, interdepartmental requests, client complaints, supplemental payroll runs, employee address updates, and other action items requiring follow-up., • Resolves user security-related inquiries within the HRIS web portal., • Processes Add Location submissions, establishing new client locations, and assigning appropriate manager access., • Creates payroll import templates as needed to support client payroll upload processes., • Conducts payroll training for clients upon request., • Educates clients on best practices and system functionality to enhance understanding and promote efficient system usage., • Ensures all client processing notes are accurate and current in PRISM., • Serves as the primary point of contact for client-specific or exception-based payroll maintenance., • Partners with Client Technology to resolve employee user login and system access issues., • Maintains regular and punctual attendance consistent with ADA, FMLA, federal, state, and local requirements, as well as company policies., • Performs additional tasks or projects as assigned by the Payroll Manager. Qualifications: Education & Experience: • Associate degrees in Business Administration, Accounting, Human Resources, or a related field, preferred., • 3 to 5 years of related work experience in payroll, HRIS, or within a PEO environment., • Demonstrated ability to learn new systems, processes, and technologies quickly., • Strong communication and follow‑up skills with the ability to build effective working relationships., • Proven ability to multitask, prioritize, and consistently deliver superior customer service., • Experience using Prism PEO Software preferred., • Strong proficiency in Microsoft Excel, including formulas, filters, and pivot tables., • Attention to Detail: Ensures accuracy in payroll processing, reporting, and system updates., • Customer Service Excellence: Provides timely, professional, and solutions-oriented support to clients and internal partners., • Time Management: Effectively manages competing priorities in a deadline-driven payroll environment., • Technical Aptitude: Able to quickly learn, navigate, and troubleshoot payroll and HRIS systems., • ProblemSolving: Identifies issues proactively and resolves them efficiently with minimal supervision., • Communication Skills: Communicates complex information clearly and professionally, both verbally and in writing., • Collaboration: Works effectively with cross-functional teams, including Payroll, HR, IT, and Client Technology. Work Environment This position is primarily office-based, with work performed on a computer in either a corporate office or a remote home office setting.
