Primary Job Responsibilities: • Follow contract driven customer service techniques so that parents and providers are given appropriate technical assistance, • Responsible for complete maintenance of NJCK cases, • Assimilation of the regulations and procedures under which these programs operate, • Ability to assess program eligibility for any CCAP case including the Kinship program, • Write and send preliminary and final agreements, • Responsible for learning state software (CARES; EPPIC), • Enter child care agreements onto CARES, • Update client addresses in CARES and NDS for accuracy purposes, • Utilize NDS for client information, technical assistance entries and general case documentation, • Accurately track and act on all paperwork due dates, • Applicant must learn the process of re-determinations and issuance of termination notices as necessary, • Monitor and track all parents who have had their child care subsidies suspended or terminated as a result of program violations, • Manage child care problems and/or complaints about/from providers, • Communicate effectively with parents regarding program regulations, • Communicate effectively with providers regarding program regulations/payment issues, • Conduct payment analyses to resolve payment discrepancies, • Advise providers about payments made, • Review periods of service with providers so paper attendance logs can be created for payment purposes, • Show due diligence to prevent duplication in the issuance of vouchers to providers for payment purposes, • Distribute all pertinent information to providers about these discrepancies (i.e.: denial or issuance of attendance log), • Maintain database of attendance logs issued for agency use, • Continue to update database of client caseload assigned, • Update all subsidy databases as directed by management, • Create attendance logs as needed for payment, • Calculate payments needed on attendance logs created for adjustment purposes Enter adjustments in EPPIC (E-child care software), • Enter attendance logs on EPPIC for payment to child care providers, • Manage complaints from providers regarding payments Receptionist duties as necessary when the reception area is unmanned: • Cover receptionist’s break/lunch daily, • Assist in covering reception area when receptionist is out for one or more days, • Duties include answering telephone and directing calls to appropriate staff members; posting mail; opening delivered mail and placing it in staff mailboxes The Children’s Home Society is an Equal Opportunity/Affirmative Action Employer M/F/D/V. Summary: The Program Operations Manager will be involved in many facets of the business including day-to-day management, recruitment, scheduling, customer service, reporting and general administrative tasks in support of the Center's operations. Additionally, they maintain accurate records related to the staffing and delivery of service for each case as well as assist in the creation, maintenance, and management of a master schedule, adequately staffing clinical cases according to the budgeted hours per client as authorized by the client's insurer. The Operations Manager will support HR, Operations, and the Clinical department as well their respective functions, acting as a reliable source of information to staff, clients, peers, and management. They will be the liaison between the administrative and clinical staff and act as the primary point of contact regarding case assignment and staff availability. Ability to learn ReThink software within 30 days. Working Conditions: Exposure to constant or intermittent sounds is sufficient to cause distraction. High demand for telephone work. Considerable stress may occur at times due to the pressure of meeting deadlines. Hours of work: 8:30a to 5:00p; must fulfill the duties of the position regardless of the number of hours worked.
