Facilities EHS Administration Coordinator Major Responsibilities: • Serve as the primary on-site contact for daily facility operations, ensuring timely response to work orders and urgent facility needs. Monitor building systems (HVAC, lighting, plumbing, access control) and escalate issues as needed., • Maintain monthly accruals for key services (e.g., supplies, janitorial, pest control, landscaping, trash, and utilities). Audit and reconcile Accounts Payable data with the CMMS for corrections, journal entries, and PO/WO updates., • Provide CHESS portion of new hire orientation training, and support CHESS training programs by completing the final step of uploading documentation into Safety Management System., • Support the facility in fostering a strong safety culture, reducing incidents, ensuring regulatory compliance, and promoting environmental stewardship. Provide administrator-level support to monitor and manage Safety Management System (SMS) platforms; partner with operations to create and update Site Safety Plans; and co-chair monthly Safety Committee meetings, including documenting and distributing meeting minutes., • Maintain regular communication with contractors, landlords, Operations, Field Maintenance, and Engineering Services teams to address issues and provide updates., • Assist in the development and upkeep of standard operating procedures (SOPs) for facility, supply, and service-related processes., • Maintain and monitor an organized visual control system of inventory for facility operational supplies and consumables. Manage restocking and help ensure standardization of supplies across departments., • Partner with CHESS team to support security functions such as call lists, on-hand badge counts, server capacities, and ensure that security events are uploaded into internal database., • Perform periodic audits and inspections (CAA, Security, Food Safety) as required by the network CHESS schedule. Keep the dashboard and KPI updated and order supplies as necessary, • Audit to ensure the regulated waste manifest binder, food safety pest control binder, and PIT files are up to date.
