About the Role As a Service Coordinator, you will be responsible for overseeing and managing incoming service requests, ensuring efficient scheduling, communication, and resolution through coordination with internal teams and external clients. Essential Duties & Responsibilities • Coordinate directly with customers to schedule service requests and follow-ups; receive and route incoming calls as needed, • Review Bluebeam Work Orders for Billing Admin team to ensure scope of work and costs are correctly captured on billings and ready for invoicing in a timely manner, • Create new work orders and manage all associated documentation for service requests, • Serve as the primary permit contact for all jobs and work orders, ensuring timely submissions and updates, • Assist with field dispatch and ongoing communication between office and service technicians, • Support manpower scheduling when required, ensuring appropriate staffing levels for service demands, • Provide assistance with purchase order creation and ongoing maintenance as needed, • Review Bluebeam work orders for accuracy and completeness to ensure proper billing scope and cost alignment; prepare documentation for timely invoicing, • Maintain organized and complete electronic and physical filing systems for service documentation, • Perform general administrative tasks and provide operational support to ensure service department efficiency, • Carry out additional duties as assigned by Project Managers, the Admin Team, or the Service Team In this role, you will have the opportunity to: • Gather and analyze data to inform decisions, using both research and intuition to develop efficient workflows and procedures, • Apply design principles with a focus on precision and attention to detail, • Identify and resolve problems quickly by evaluating information and implementing effective solutions, • Deliver responsive, courteous service by addressing customer needs, following up, and honoring commitments, • Navigate conflicts constructively by focusing on resolution rather than blame, • Communicate clearly and confidently in a variety of settings, responding thoughtfully to questions, • Foster a collaborative environment by giving and receiving feedback and supporting team unity, • Produce well-structured written communication, including clear documentation and effective data presentation, • Promote a respectful and inclusive workplace, free from harassment, • Demonstrate integrity by treating others respectfully and following through on commitments, • Support organizational goals by adhering to established policies and procedures, • Stay flexible in a dynamic environment by adapting to shifting priorities and unexpected challenges, • Maintain reliable attendance and punctuality, modeling consistency and accountability, • Follow directions and take ownership of responsibilities with a dependable approach, • Make thoughtful decisions using sound judgment and a balanced perspective, • Set ambitious goals and take initiative to achieve them, • Prioritize tasks and manage time effectively to meet deadlines, • Maintain professionalism in all interactions, especially under pressure, • Complete assignments in a timely and efficient manner, • Deliver work with accuracy, care, and attention to quality standards, • Champion safety by following procedures and promoting a secure work environment We are looking for someone with the following competencies: • Minimum of 2 years of relevant experience and/or training, or an equivalent combination of education and experience, • Proficient in reading and interpreting basic documents and writing standard correspondence, • Fluent in speaking, reading, and writing English, • Capable of solving practical problems involving a variety of concrete variables in situations with limited standardization, • Able to apply mathematical concepts such as fractions, percentages, ratios, and proportions in real-world scenarios, • Working knowledge of Microsoft Word, spreadsheet software, and project management tools, • No certifications or licenses required, • Occasionally exposed to mechanical equipment and outdoor weather conditions during job duties, • Work environment typically has moderate noise, though it may vary Why Cochran?
