We are seeking a detail-oriented Front Desk and Intake Coordinator to greet clients, manage appointments, input data, support intake processes, manage billing-related tasks, and coordinate office operations. This role requires exceptional organization, dependability, and a compassionate, client-centered approach. Key Responsibilities 1. Greet clients and visitors as they enter the facility; verify identification and direct to appropriate staff., 2. Coordinate appointment scheduling with referents and self-referred clients; manage waitlists and confirm upcoming visits., 3. Input new appointments into the EMR/Practice Management system; ensure accurate data entry., 4. Check insurance cards and verify coverage; schedule follow-up appointments to complete intake including medical assessments with the Nurse., 5. Send appointment reminders to clients by phone or text; document confirmations and changes., 6. Liaison with referents during intake via email or phone to facilitate smooth onboarding., 7. Maintain weekly Intake Flow Sheet and update as needed., 8. Responsible for Daily and Weekly Attendance Tally; record attendance in the EMR., 9. Update Master Sheets, Criminal Justice Medicaid records, and Bronx Census as required by program operations., 10. Review insurance cards every two weeks for accuracy and eligibility., 11. Record medical assessments, initial psychosocial evaluations, and medication follow-ups in the EMR., 12. Oversee the completion of Federal toxicology testing, including preparation of requisitions, specimen bottles, and transport bags; coordinate with labs., 13. Enter data into the STARS (or your designated data system) daily, weekly, and monthly., 14. Prepare Attendance Logs for billing and ensure documentation supports services rendered., 15. Prepare Monthly Daily Sign-In sheets for USPO billing and related reporting., 16. Collect and process payments/co-pays; provide receipts and document financial transactions., 18. Issue and maintain a log of MetroCard disbursement for clients as applicable.
