Role Summary The Employee Relations Administrator is responsible for ensuring the accuracy and integrity of all payroll data and for managing the end‑to‑end administration of employee leaves. In this role, you will serve as the primary point of contact for employees navigating sensitive life events that require time away from work, providing clear guidance, compassionate support, and timely communication. You will ensure employees are paid accurately during their leave periods while maintaining full compliance with all applicable federal and state regulations. Key Duties & Responsibilities Payroll Administration • Maintain accurate employee data within the HRIS and payroll systems, ensuring all updates (hires, terminations, promotions, pay changes, tax status changes) are entered correctly and on time., • Process regular, off‑cycle, and retroactive payroll runs in accordance with federal, state, and local wage and hour laws., • Audit timekeeping records for accuracy, including hours worked, premium pay, overtime, shift differentials, and meal/rest break compliance when applicable., • Verify payroll outputs, including earnings, taxes, deductions, garnishments, and benefits premiums, to ensure 100% accuracy., • Respond to employee payroll inquiries promptly and professionally, researching and resolving discrepancies., • Maintain payroll files and documentation in accordance with company policy and legal retention requirements., • Collaborate with Finance on payroll reconciliation, GL coding, and variance analysis as needed. Leave Administration (FMLA, ADA, State Leaves, Company Leaves) • Manage the end‑to‑end administration of employee leave programs, including FMLA, ADA‑related accommodations, state‑mandated family and medical leaves, disability programs, workers’ compensation leaves, and company‑sponsored leave offerings., • Serve as the primary point of contact for employees taking leave, providing clear communication about eligibility, documentation requirements, timelines, job protection, and pay/benefit impacts., • Review and process medical certifications, return‑to‑work documentation, and intermittent leave schedules., • Coordinate with third‑party administrators, insurance carriers, and internal partners to ensure accurate processing and tracking., • Ensure proper coding of leaves in payroll and timekeeping systems to prevent incorrect payment processing., • Monitor leave balances and track expiration dates, recertifications, and reinstatement timelines., • Maintain confidential employee medical information in compliance with HIPAA, ADA, and internal policies. Compliance & Reporting • Ensure all payroll and leave activities comply with FLSA, FMLA, ADA, state leave laws, wage/hour regulations, and company policies., • Prepare reports related to payroll, leave usage, accruals, and audit requests., • Support internal and external audits by maintaining complete and accurate payroll and leave documentation., • Stay up‑to‑date on federal, state, and local legislation impacting payroll and leave administration. Competencies Technical & Compliance • Strong knowledge of U.S. payroll practices, FLSA rules, overtime requirements, and wage-and-hour compliance., • Understanding of federal and state leave laws (FMLA, ADA, state family/medical leaves, workers’ comp, disability programs)., • High proficiency in HRIS, payroll systems, and timekeeping platforms. Preferably ADP Workforce Now and UKG Pro., • Ability to interpret regulatory changes and apply them accurately to payroll and leave processes. Accuracy & Attention to Detail: Maintains meticulous documentation of payroll and leave records. Confidentiality & Professionalism: Handles sensitive payroll and medical information discreetly and in compliance with HIPAA and company policy. Communication & Employee Support: Communicates clearly, compassionately, and accurately with employees regarding pay, leave processes, and expectations. Time Management & Organization: Stays organized in a fast‑moving, detail‑heavy environment. Collaboration & Partnership: Works closely with HR Business Partners, managers, Finance, Legal, and third‑party administrators. Customer Service Orientation: Delivers service that is both compliant and human‑centered. Qualifications • Education: Associate’s or Bachelor’s degree in Human Resources, Accounting, or Finance., • Experience: 2–4 years of direct experience in payroll processing and/or leave administration., • Certifications: Certified Payroll Professional (CPP) or SHRM-CP is a significant advantage., • Compliance Knowledge: Must be current on 2026 DOL guidance on FMLA entitlement calculations.
