JOB SUMMARY/OBJECTIVE: The Administrative Assistant provides essential administrative support to the Chief Operating Officer (COO) and Chief Clinical Officer (CCO). This role is responsible for scheduling meetings, maintaining calendars, coordinating travel, managing routine correspondence, and assisting with day-to-day operational tasks. This role requires strong organizational skills, attention to detail, professionalism, and the ability to manage multiple priorities in a fast-paced environment. ESSENTIAL DUTIES AND RESPONSIBILITIES • Manage executive calendars, scheduling meetings, appointments, and travel., • Draft, proof, and format correspondence, reports, memos, and presentations., • Maintain orderly electronic and hard copy filing systems., • Handle sensitive information and documents with the highest level of confidentiality., • Plan and coordinate on-site and off-site meetings, conferences, and events, including arranging catering, room setup, and technology., • Prepare agendas, accurately record meeting minutes, and meticulously track action items to ensure completion., • Serve as the primary point of contact for internal and external communications; screen calls and emails, responding or routing appropriately., • Maintain positive and professional relationships with staff, vendors, and community partners., • Screen and prioritize emails, phone calls, and messages; respond or route as appropriate., • Coordinate travel plans including flights, accommodations, and transportation., • Prepare detailed travel itineraries and provide support while executives are on the road., • Assist in tracking project timelines, milestones, and deliverables across departments., • Conduct research, compile data, and prepare summaries or analyses to support strategic decision-making., • Provide administrative support to cross-functional teams on departmental and organizational initiatives., • Prepare briefing materials for executive meetings, presentations, and events., • Support the preparation of board materials, grant documentation, and status reports., • Help prioritize tasks, deadlines, and strategic goals., • Bachelor's degree in business administration or equivalent education/experience preferred, • Three (3+) plus years administrative assistance experience supporting senior level executives (exp. in healthcare environment preferred), • Exceptional computer skills (including proficiency in Microsoft Excel spreadsheets, MS Word, and Microsoft 365), • Ability to transcribe meeting minutes/notes., • Excellent time management, organization, and administrative skills., • Ability to research critical business information in a timely fashion (internet and other internal and external sources)., • Ability to work independently, handle multiple tasks simultaneously and manage one’s own time appropriately given ever-changing priorities., • Pleasant and professional interpersonal skills., • Personal belief in recovery and the recovery process., • Excellent written and verbal communication skills, with the ability to interact effectively with staff, clients, and the public., • High energy, flexibility, and strong interpersonal skills to work effectively within a team., • Ability to engage clients flexibly based on their individual needs., • Respect for and maintenance of professional boundaries with all individuals., • Ability to follow written and verbal instructions accurately. Physical Requirements: • Prolonged periods of sitting at a desk and working on a computer., • Must be able to lift up to 15 pounds at times. The compensation for this position will vary depending on factors such as your location, skills, job-related knowledge, and experience. The compensation package may also include incentive compensation opportunities in the form of a discretionary annual bonus.
