Job Description Residential and Home and Community Services, Non-Direct Care Service Title:Financeand HR Director Responsible to: President/CEO General Description of Duties and Responsibilities: The Finance and HR Director is responsible for maintaining accounting records and performing bookkeeping functions. Run query reports for the CEO when necessary. The position has access to highly confidential information and is expected to maintain confidentiality with both internal and external people. The Finance and HR Director is responsible for agency budgeting and working in conjunction with the CPA. The ideal individual is highly efficient with a superb skill set, pleasant and able to work with different people and personalities. Will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The person will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion. He/she must be creative and enjoy working within a nonprofit environment that is mission-driven, results-driven and community oriented. Duties and responsibilities: AP/AR: • Supervise the AP/AR and billing accounting associate., • Manage the billing of vendors monthly and deposit all receivables., • Record all online payments and monthly debits. Reconcile bank statements monthly., • Review invoices for appropriate documentation and approval prior to payment., • Monitor customer account details for nonpayment, past due payments, and other irregularities. Contact clients to resolve any issues., • Research and solve payment/receivable discrepancies., • Keep up-to-date W-9s., • Take directions and implement action to ensure the administrative duties associated with AP/AR are maintained as expected., • Ensure clear understanding of company financial goals and cost saving incentives., • Prepare a variety of studies, reports, and related information for decision-making purposes. Conduct research, analyses, and prepare reports., • Prepare supporting documentation and post journal entries to QuickBooks accounting software., • Enter invoices, bills, and receipts into QuickBooks software., • Computer and record charges, refunds, and adjustments., • Prepare pledges, invoices, account statements, reports, and other documents., • Reconcile accounts receivable (work with accounting firm), internal expense forms (site and administration) and work with accounting firms on general ledger accounts., • Computer and record charges, refunds, and adjustments., • Prepare pledges, invoices, account statements, reports, and other documents., • Become proficient with PROMISe billing. Payroll: • Approve payroll Proficient with ADP and process payroll., • Handle timesheet discrepancies or issues., • Calculate employee tax, insurance, and 401K deductions, adjust when necessary., • Make accurate and timely tax, insurance, and 401K deposits for the company., • Identify, develop, and cultivate productive employee relationships to ensure timesheet inaccuracies are resolved., • Adhere to payroll guidelines, whereas the submission of employee information regarding W-2s, 1099s, etc. are accurate and up to date., • Establish a process for collecting, reporting, and suggesting changes to ensure that the company meets all necessary payroll functions as required by law. Human Resources: • Have a thorough understanding of policies/procedures/protocols and the execution of them in the day-to-day management of roles., • Exemplify AIMED Core Values and consistently role models in your day-to-day interactions., • Become efficient with the Bamboo HR platform., • Oversee recruitment process through Bamboo., • Track new applicants process from start to finish in Bamboo., • Maintain employee HR files in Bamboo., • Onboarding new hires (make offer and send offer letters, HR orientation, criminal and child background check, gather employee physical, license, insurance, SS card, bank deposit information and complete all necessary new hire paperwork)., • Initiate payroll status form for new hire and terminated employees., • Maintain benefits plan, enroll in 401K and medical benefits., • Enter new hires into ADP platform., • Purge terminated HR/training files., • Develop and implement HR strategies and initiatives aligned with overall business strategy., • Bridge management and employee relations by addressing demands, grievances, or other issues., • Credentialed with SHRM HR and understanding of their practices., • Work with management and provide decision support through HR metrics., • Oversee and manage employee performance appraisal systems that drive high performance., • Ensure legal compliance throughout human resources management., • Make sure HR follows 6400/6500 regulations., • Prepare HR for annual licensing., • Maintain employees license, insurance and registration records and notify employees when renewal is due., • Enroll new employees into medical benefits and renew during open enrollment., • Handle workmans comp claims and follow up., • Handle unemployment claims and external agency requests., • Oversee open enrollment and sign-up new hires for benefits., • Handle employee grievance process., • Handle external requests for employees regarding HR matters., • Oversee exclusion monthly reporting., • Periodic travel may be required., • Other duties as assigned. Qualifications: Bachelors Degree in Business Administration, Accounting or any equivalent combination of education and experience, with additional work experience substitutes for the required education. Skills: • Read and interpret documents., • Writes routine reports and correspondence., • Extensive knowledge of QuickBooks, Excel, and Word., • Calculate figures on a 10-key calculator., • Use computer software programs and/or applications., • Solve problems and deal with a variety of variables., • Interpret a variety of instructions., • Apply generally accepted accounting principles., • HR platforms experience., • SHRM credentialed., • Effective team building., • Time management., • Presentation skills., • Effective oral and written skills., • Use computer software and/or program applications.
