Position Summary The Medical Assistant / Phlebotomist supports the seamless delivery of patient care by overseeing scheduling, appointment preparation, insurance coordination, phlebotomy logistics, EMR documentation, and patient communication. This role ensures accuracy, efficiency, and compassion at every step of the patient journey, while serving as a bridge between patients, providers, labs, and administrative teams. Key Responsibilities Patient Care & Clinical Support • Greet, prepare, and support patients for exams, procedures, and lab draws., • Perform and prepare for phlebotomy procedures, specimen collection, and advanced testing panels., • Administer injections and assist providers during examinations and minor procedures., • Maintain safety, compliance, and confidentiality of patient data., • Manage room setups, clinical inventory, and equipment quality logs., • Troubleshoot and support CGM setup and other patient monitoring tools., • Schedule and reschedule patient, provider, and specialty appointments across multiple calendars., • Manage insurance, billing discrepancies, and Quest lab communications., • Prep for Physician and Phlebotomy appointments, • Upload and organize patient documentation across multiple EMRs (Reya and Athena)., • Coordinate referrals, medical record releases, pre-op clearance labs, and faxes, ensuring documentation is shared with both members and providers., • Respond promptly to patients through email, CN Chat, and phone., • Provide education on lab collections, procedures, membership journey, etc., • Relay updates from providers, including results, prescription refills, pending labs, and follow-ups., • Track patient memberships, start/end dates, credits, renewals, and preferences., • Maintain communication with outside offices, labs, and vendors to resolve discrepancies and support continuity of care. Required Skills & Qualifications • 2–4 years of experience in healthcare operations, clinical coordination, or medical administrative support., • Strong working knowledge of EMRs (Athena preferred), scheduling systems, and lab requisition workflows., • Familiarity with insurance billing, lab test codes, and ICD-10 documentation., • Exceptional organizational skills, attention to detail, and multitasking ability., • Excellent interpersonal, written, and verbal communication skills., • Proficiency with Microsoft Outlook, Excel, and Google Suite., • Experience with concierge, functional, or integrative medicine practices., • Familiarity with specialty labs (Genova, Dutch, Vibrant America, etc.)., • Knowledge of CGM setup and troubleshooting., • Understanding of clinical inventory management and POC protocols. Work Conditions • Full-time, in-person, • Occasional after-hours responsibilities, including prescription/referral support., • May involve use of a personal vehicle for deliveries. Regular attendance in conformance with the standards, which may be established by Love.Life from time to time, is essential to the successful performance of this position. Attendance standard for salaried exempt team members is dedicating adequate time to fulfill the duties outlined in this job description equal to, or more than 40 hours per workweek. Due to the cyclical nature of the industry, team members may be required to work varying schedules to reflect the needs of the business.
