Job DescriptionDescription: EMPLOYMENT ADMINISTRATIVE COORDINATOR POSITION SUMMARY: Performs comprehensive MAC Workforce Inclusion Network (WIN) Center services per The MAC Policy and Procedure and adhering to the MAC Core Values. The position is a center-based position and will provide administrative support to The MAC WIN team and its members to increase employment outcomes for individuals with disabilities. The position involves developing and maintaining long-term interaction with MAC Members, their families, and MACers for medical, therapeutic, community support services, and related service needs. ESSENTIAL FUNCATIONS: • Provide administrative support to Employment Manager, Specialists and Benefits Navigator., • Greet visitors with a friendly and welcoming demeanor, understanding their needs and directing them to the appropriate resources or individuals., • Engage visitors and provide an overview of WIN services., • Maintain open and positive communication with team members to ensure seamless collaboration and information sharing., • Answer telephones and give information to callers, take messages or transfer calls to appropriate individuals., • Coordinate and schedule meetings for team members, MAC Members and partnering agencies., • Prescreen and confirm WIN referral eligibility/enrollment process, and document employment encounter in MAC Navigation system., • Open, sort, and distribute incoming mail efficiently and securely., • Make copies of correspondence or other printed material., • Facilitate scheduling of all WIN events, meetings and training., • Maintain equipment and order supplies monthly; all supply or equipment invoices are forwarded to the Director for approval and recorded in the budget spreadsheet., • Report on progress in statistical and narrative reports., • Regular attendance and timeliness required per The MAC guidelines., • Participation in all applicable performance evaluation programs is required., • Ensure all collected data is accessible in the MAC Navigation System and maintain MAC Member record., • Participate in MAC Care Coordination team meetings as a MAC Member advocate providing relevant information to all MAC stakeholders and asking relevant questions on behalf of assigned MAC Member (as requested)., • Stays current on community agencies and resources to provide accurate, timely information., • Conduct MAC pre/post surveys, per timeline identified in MAC Policy and Procedures., • Adhere to established productivity benchmarks., • Discuss MAC Member grievances with leadership and develop action plans to address and correct., • Obtain MAC Member feedback and provide Leadership with appropriate recommendations to improve WIN services., • Participate in all MAC Huddle meetings/trainings., • Participate in all meetings, and education sessions regarding MAC Navigation System., • Performs all other duties as assigned. Reasonable accommodation may be made to enable individuals with disabilities to perform essential job functions. • Position based in a standard office environment with possible travel to meetings and outreach events., • Core business hours are Monday through Friday, 8 a.m. – 5 p.m., • After-hours' work is required from time to time, including evenings and weekends., • Ability to remain in a stationary position regularly, up to 85% of the time., • Frequently move about inside the office to access file cabinets, office machinery, etc. and carry office materials and supplies up to 20 pounds., • Constantly operates a computer and other office productivity machinery, such as calculator, phone, fax, copier, etc. and a personal computer. Requirements: QUALIFICATIONS: Education: • Bachelor's degree, • Minimum two (2) years of experience as an administrative assistant or similar duties in a professional environment required., • Experience or knowledge of employment for diverse populations, such as veterans and people with disabilities., • Must be Bilingual (Spanish), • Proficiency in Microsoft Office, Adobe, and networking conferencing software., • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form., • Perform effectively under conditions of fluctuating workload and systems change., • Ability to work collaboratively and effectively in a close team environment., • Ability to interact with all visitors and fellow employees in a responsible, courteous manner to ensure a positive and professional environment.
