Key Responsibilities Project Coordination & Operations Support • Coordinate day-to-day administrative and operational needs for commercial waterproofing projects., • Support Project Managers with project startup, schedule tracking, manpower coordination, material planning, and closeout., • Communicate with general contractors, owners, architects, consultants, vendors, subcontractors, and internal teams., • Track project milestones, deadlines, commitments, approvals, and outstanding action items., • Assist in identifying project issues early and escalating them to the Project Manager or Operations Manager., • Help ensure field teams have current drawings, approved submittals, specifications, safety documents, and project information Project Delivery & Financial Reporting • Assist Project Managers and accounting teams with PDP reporting, WIP reporting, project cost updates, and job progress tracking., • Maintain accurate project data related to contract values, approved change orders, pending change orders, billing status, cost-to-complete, percent complete, and projected margins., • Help prepare and update monthly WIP schedules and project financial reports; review costs and other financial activity to ensure appropriateness and accuracy., • Track labor, material, subcontractor, equipment, and miscellaneous job costs against project budgets., • Support review of project profitability, committed costs, open POs, pending invoices, and forecasted costs., • Ensure project financial information is accurate, complete, and submitted on time., • Provide oversight and support of transactional accounting including purchasing, work orders, and project costing., • Periodically review costs and other financial activity to ensure appropriateness and accuracy., • Produce operational and financial reports and reviews to support branch leadership and assist with month end closing processes in coordination with regional accounting team, • Understand financial policies, including basic knowledge of GAAP, internal controls and percentage of completion accounting to support operations team and financial review Contract & Document Management • Review, organize, and maintain contracts, scopes of work, purchase orders, subcontractor agreements, insurance documents, lien waivers, certificates of insurance, and compliance paperwork., • Prepare, submit, and track submittals, RFIs, product data, warranties, safety documentation, and closeout packages., • Monitor document approvals and follow up with general contractors, consultants, suppliers, and internal stakeholders., • Maintain organized project files, including drawings, specifications, revisions, meeting notes, correspondence, schedules, RFIs, submittals, change orders, and billing backup., • Ensure documentation meets project requirements, company standards, and contractual deadlines Billing & Pay Application Support • Assist with preparing monthly billing, pay applications, schedule of values updates, and invoice backup., • Track billing deadlines, retainage, approved change orders, pending change orders, and payment status., • Coordinate with accounting on invoice processing, cost coding, lien waivers, certified payroll, and project financial documentation., • Review field tickets, purchase orders, vendor invoices, and subcontractor invoices for accuracy and completeness., • Help ensure billing aligns with contract terms, percent complete, completed work, and project financial reporting Scheduling, Materials & Field Coordination • Support schedule coordination with Project Managers, Superintendents, Foremen, general contractors, suppliers, and subcontractors., • Assist with material procurement, delivery coordination, lead time tracking, and purchase order follow-up., • Confirm delivery dates, material quantities, approved products, and project-specific requirements., • Coordinate inspections, meetings, site access requirements, safety paperwork, and field documentation., • Communicate project updates, schedule changes, and material issues to appropriate team members Compliance & Closeout • Track and collect project compliance documentation, including insurance certificates, safety plans, SDS sheets, certified payroll, lien waivers, warranties, and closeout requirements., • Prepare and submit closeout packages, including warranties, product data, maintenance information, as-builts, final lien waivers, and required releases., • Follow up on punch list items, final documentation, and project closeout deadlines., • Maintain accurate project records for future reference, warranty claims, audits, and internal review. Qualifications • 5+ years of experience in commercial construction project coordination, specialty contracting, waterproofing, roofing, restoration, façade, concrete restoration, or related construction field preferred., • Experience supporting Project Managers with WIP reporting, PDP reporting, job cost tracking, percent-complete reporting, forecasting, and project financial documentation., • Strong knowledge of construction administration, including submittals, RFIs, change orders, purchase orders, contracts, pay applications, lien waivers, and closeout documents., • Ability to read and understand basic construction drawings, specifications, scopes of work, schedules, and contract documents., • Proficiency with Microsoft Office, Outlook, Word, and Excel., • Excellent organization, communication, follow-up, and time management skills., • Ability to manage multiple projects, deadlines, and priorities in a fast-paced construction environment., • Strong attention to detail and commitment to accurate documentation. MAJOR FUNCTIONS: She/he is responsible for developing new business relationships and building upon existing relationships with behavioral health providers, medical clinics, hospitals, shelters, criminal and family court systems, child welfare agencies and other human service providers on behalf of Odyssey House’s outpatient and residential treatment programs. She/he is responsible for coordinating the daily activities of the Peer Engagement Specialist and Street Outreach Specialists. SPECIFIC DUTIES & RESPONSIBILITIES: 1. Develops linkage agreements with new business partners., 2. Maintains current linkage agreements with existing business partners, reviews and updates each agreement annually., 3. Develops and adheres to a weekly schedule of in-person meetings, remote meetings and check-in calls with all new and existing business partners., 4. Monitor referral volume and admissions conversions rates for each business partner., 5. Works with Director of Clinical Data management to develop data reports which inform outreach and engagement strategies., 6. Participates in rotating on-call coverage plan., 11. Prepares monthly reports as requested by supervisor., 12. Assures that all outreach staff members are adequately trained., 13. Provides direct supervision for designated staff as per Odyssey House policies., 14. Prepares written annual evaluations on staff under his/her supervision., 15. Participates in daily clinical and administrative meetings with staff as designated., 16. Provide ongoing training for program staff and participate in Odyssey House in-service trainings., 17. Job Description DESCRIPTION: The occupational therapist is responsible for evaluating the patient’s level of physical functioning in the home and to work with the patient, family and/or others to provide training and/or assistive devices to eliminate or reduce areas of deficit. The occupational therapist also works with the other professional staff to establish rehabilitation and maintenance measurable goals and activities. QUALIFICATIONS: Minimum Education Requirements: 1. Current licensure in New York State, 2. Current Registration with the American Occupational Therapy Association in New York State., 3. Graduate of a program in occupational therapy curriculum accredited jointly by the Council on Medical Education of the American Medical Association in collaboration with the American Occupational Therapy Association; or, 4. Graduate of a curriculum in occupational therapy which is recognized by the World Federation of Occupational Therapists and is eligible for registration with the American Occupational Therapy Association. Minimum Training Required: 1. A minimum of one year occupational therapy experience in a health care setting, preferably home health care., 2. RESPONSIBILITIES: • Provides occupational therapy services for patients as ordered by the prescribing physician., • Assess and evaluates, physical and cognitive functional deficits of the individual patients, utilizing occupational therapy guidelines/modalities, professional knowledge and skills to provide quality patient services., • Performs clinical tests to determine mental status and attention span, functional limitations, endurance level, range of motions, upper body strength, balance, mobility/transfer and ambulation level and potential for restoration., • Completes an initial evaluation visit within three (3) business days of a patient referral; o makes telephone contact with the HHA nurse, followed by the submission of a written report to include assessment findings, measurable goals, visit frequency, and estimated duration of service. Recommendations and plans of treatment to the physician • Evaluates, develops and implements patient individualized occupational therapeutic o modalities. Documents and communicate recommendations to the patient’s physician on the plan of care. • Implements/establish specific functional exercise programs/treatments, use of adaptive equipment/devices to increase muscle strength, range of motion and coordination of upper extremities for improved ADL functions. Instructs, assess and monitors patient’s outcomes., • Assess/monitor/revises changes in occupational therapy plan for effective patient care., • Coordinates with field staff and develops patient care plans to meet identified occupational therapy needs, seeks clinical guidance from occupational therapy managing personnel to service the hard to service patients., • Evaluates and treats cognitive perceptual defects., • Develops implements patient specific Home Exercise Program and provides timely upgrade to this Program., • Timely documentation of patient care information on evaluation data, treatment modalities, communications on patient program and response to interventions in patient clinical records., • Provides patient/caregiver/healthcare worker education on Home Exercise Program, adaptive equipment/device/ monitors/assess for understanding, compliance and outcomes., • Maintains records for each patient treated; by documenting findings, diagnosis, treatment methodologies, interventions, special precautions, progress notes, record of visits and discharge summary., • Ongoing communication with the HHA nurse regarding all information; assessment findings, barriers that will influence or change provision of services including any unusual situations observed during the course of service., • Provide timely reports, outcomes, recommendations and changes in the care plan to the patient’ physicians., • Participates in Agency in-service education programs, Quality Assurance, Interdisciplinary Team Meetings., • Consults with other members of the health team to coordinate therapeutic programs for all patients including the hard to service patients., • Timely documentation and submission of patient clinical findings, treatments/interventions outcomes and plans., • Initiates and maintains verbal/written communication according to the HHA policy to ensure coordinated patient quality care., • 60 Day Reports: Re-evaluates patients every 60 days to detect outcomes/progress attained and documents findings, discharge plans and changes to the care plans for the upcoming 60 Days. Submits reports within three (3) business days following the date for inclusion in the patient’s clinical record., • Discharge Summary: Submits discharge summaries at the completion of services that includes assessment findings, treatment methodologies, service outcomes and any recommendations for follow-up care., • Assumes responsibility for continued professional growth by maintaining professional memberships and annual professional certifications., • Performs other related duties as required.
