POSITION DESCRIPTION: The Facilities Coordinator provides administrative and operational support to the Facilities department to ensure the smooth and efficient coordination of facility maintenance, service contracts, and compliance activities across all SIHF Healthcare sites. This role assists with communication, organization, documentation, and vendor coordination while supporting facility operations that promote a safe, functional, and compliant environment. ESSENTIAL DUTIES AND RESPONSIBILITIES: 1. Collect facility maintenance work requests; coordinate, dispatch, and track the execution of all maintenance work orders across SIHF Healthcare facilities., 2. Operate and maintain the database-type work order and service response Computerized Maintenance Management System (CMMS)., 3. Prepare and maintain various documents such as contracts, management reports, lease agreements, and meeting agendas., 4. Assist with the solicitation, classification, and analysis of construction and service bids; prepare bid tabs and make recommendations to the Director of Facilities., 5. Assist in maintaining and organizing facility service agreements and vendor documentation (maintenance, fire/security systems, waste, recycling, utilities, housekeeping, groundskeeping, and pest control)., 6. Order supplies, furniture, and/or equipment on behalf of departments supported., 7. Serve as an information resource to others within the organization., 8. Coordinate and provide regular updates to the supervisor or manager on daily activities, needs, successes, and issues within the work area, and cooperate on corrective action measures., 9. Communicate feedback and instructions from the supervisor to team members as directed., 10. Assist in inspecting and monitoring SIHF Healthcare facilities for compliance with life safety codes, local/state building codes, ADA, OSHA, and SIHF Healthcare Security Program requirements (including key control, visitor access logs, training, and facility lockup)., 11. Assist in maintaining up-to-date lists of applicable building codes., 12. Support purchasing functions related to facility management, including obtaining quotes and preparing purchase requests., 13. Set a positive example for team members in the areas of professionalism, customer service, and adherence to SIHF Healthcare policies and procedures., 14. Other duties as assigned. KNOWLEDGE, SKILLS, ABILITIES: 1. Ability to communicate skillfully and tactfully, both orally and in writing, with a variety of audiences, including employees and management at all levels, both internal and external to SIHF Healthcare., 2. Knowledge of and ability to apply Environment of Care policies and procedures standard to the healthcare facilities industry., 3. Ability to coordinate and prioritize multiple unrelated projects effectively., 4. Proficient in personal computer skills, including email, record keeping, database activity, word processing, spreadsheets, and graphics (experience with Microsoft-based products required)., 5. Ability to use software programs to quickly and accurately inform SIHF Healthcare management of project needs and status., 6. Demonstrated ability to deliver excellent customer service under a variety of challenges, personalities, and high-pressure situations., 7. Ability to maintain a good level of physical fitness to accommodate extended periods of walking, moving, bending, kneeling, and occasional lifting (up to 50 lbs.) for site visits and inspections., 8. Strong problem-solving skills, including the ability to investigate, document, conduct root-cause analysis, and implement effective solutions., 9. Proficient in Microsoft Office Suite or similar software. EDUCATION AND EXPERIENCE: 1. Associate’s degree in business administration, facilities management, or related field preferred; equivalent experience may be considered., 2. Minimum of two (2) years’ experience in facilities coordination, maintenance administration, or related support role preferred., 3. Strong organizational and communication skills. PHYSICAL DEMANDS: Position is a combination of sedentary duties and routine performance of some strenuous activities of an administrative nature. Must maintain a good level of physical fitness to accommodate extended periods of walking, moving, bending, kneeling, and some occasional lifting of weights up to fifty (50) lbs. Frequent travel to SIHF Healthcare sites is required. A valid driver’s license and insured automobile are required. WORK SCHEDULE: Normal work hours for this position are Monday through Friday dayshift; however, some evening and weekend time may occasionally be required given the unpredictable nature of maintenance, safety, and security programs.
