We are looking for someone who is organized, proactive, and adaptable, with experience in structured, international environments — ideally within the financial or banking sector — and is used to working in a fast-paced, demanding environment. In this role, you will need to combine discretion, reliability, and problem-solving skills. You’ll be working closely with senior stakeholders, making sure their needs are anticipated and handled with professionalism. Main tasks will include: • Manage calendars, schedule meetings, and coordinate complex appointments and events (including collaboration with portfolio companies), • Organize and oversee travel arrangements, including flights, accommodation and itineraries;, • Screen and manage communications, including emails and phone calls, ensuring timely responses;, • Draft correspondence, meeting minutes and presentations with accuracy and attention to detail;, • Manage client and stakeholder relationships with professionalism and discretion;, • Support project management and ensure deadlines and priorities are met;, • Prepare and process expense reports, invoices, purchase orders and light bookkeeping tasks;, • Collaborate effectively with internal teams across the Firm to facilitate smooth operations, especially IT, HR and Finance, e.g. supporting recruiting processes or delegating IT topics;, • Coordinate the logistics of internal and external meetings (meeting room bookings, suppliers, catering, equipment, etc.);, • Welcome visitors, clients, and partners, and ensure the smooth preparation and coordination of meetings;, • Ensure administrative follow-up of files and facilitate the smooth flow of information;, • Assist with vendor management and follow-up on service agreements and contracts;, • Oversee general office operations, including office supplies, equipment management, and coordination with facility services;, • Support the onboarding of new employees, including IT equipment, office access, and logistical arrangements; · Maintain and update CRM records, ensuring accurate and timely data management; • Maintain a high level of confidentiality regarding all handled matters. Your Skills • 2 years of experience in a personal/team assistant/office manager role, ideally in structured international companies, • Background in the financial or banking sector is considered a strong plus; hotel industry background is also welcome, • Positive, dynamic and professional attitude, with strong interpersonal skills, • Highly reliable, trustworthy, and discreet — confidentiality is essential, • Strong organizational and time-management skills, with a hands-on approach and ability to work under pressure, • Precise, detail-oriented, and able to manage last-minute changes effectively, • Proactive problem-solver who anticipates needs and takes initiative, • Flexible and collaborative, with excellent written and verbal communication skills, • Fluent in English and French (both written and spoken), • Comfortable using technology and digital tools, with the ability to adapt to new systems quickly Contract details • Location: Paris, • Fixed-term contract (6 months)
