About the Role We're hiring a highly organised and people-centred HR Coordinator who thrives in the detail, stays calm under pressure, and genuinely cares about getting the employee experience right — from someone's first day to their last. Sitting within the HR team and reporting to the Senior HR Manager, you'll keep the people operations engine running smoothly across Frieze and the wider MARI business — managing everything from onboarding and offboarding to payroll administration and HRIS maintenance. Alongside BAU HR responsibilities, you'll play a hands-on role in resourcing and delivering temporary staff operations across Frieze's world-class fair programme, including Frieze London, Frieze Masters, and the inaugural Frieze Abu Dhabi. This is a full-time, fixed-term contract role and qualified candidates must be based in London. You'll be part of a hybrid team that values both connection and flexibility — we'll cover the details of our hybrid schedule during the interview process. What Success Looks Like: • Employee records, the HRIS, and compliance obligations are consistently accurate, up to date, and audit-ready, • Onboarding and offboarding processes run seamlessly, with new hires across MARI receiving a consistent and welcoming induction experience, • Contingent worker operations for Frieze London, Frieze Masters, and Frieze Abu Dhabi are delivered on time, compliantly, and without friction, • Managers and employees feel well-supported, with clear and timely guidance on policies, procedures, and employment matters, • The Senior HR Manager has a reliable, proactive partner who handles BAU with confidence and flags issues early What You'll Own: HR Operations • Maintain employee records, HRIS data, and confidential documentation, ensuring compliance obligations are met across all regions, • Coordinate onboarding, offboarding, contract changes, and exit processes for Frieze and MARI, and deliver the regular MARI induction to new hires, • Manage right to work checks globally and support employees and managers on visa and relocation queries, working alongside the HR Manager and external counsel, • Advise employees and managers on company policies, procedures, and employment law, ensuring consistent and compliant application, • Support the Senior HR Manager with employee relations casework — including notetaking, helping resolve informal issues, and knowing when to escalate, • Maintain organisation charts and keep HR and company Notion pages current and accurate, • Support broader HR activities including engagement surveys, performance cycles, L&D initiatives, and the annual compensation review Frieze London & Frieze Masters • Manage the end-to-end contingent worker process, ensuring temporary staff are contracted and paid in line with local labour laws, working with a third-party supplier, • Co-develop onboarding materials and organise induction sessions for all temporary workers; support manager training, • Support preparation for 2027 US events as directed, including training materials and internal and external job postings What You Bring: • Previous experience providing HR support in a fast-paced environment, • Solid knowledge across core HR functions including payroll and benefits administration, • Hands-on experience managing a HRIS system, • Experience working within a global organisation, • Meticulous attention to detail and strong organisational skills — you manage competing deadlines without things slipping, • Clear and confident communicator, both written and verbal, who adapts their style to the situation, • Discreet and professional when handling sensitive information, • A genuine team player who rolls up their sleeves when things get busy, • Strong Microsoft Office skills across Outlook, Word, PowerPoint, and Excel, • CIPD Level 3 qualification (or equivalent), or a willingness to work towards it, is a plus, • Working knowledge of UK, EMEA, or US employment legislation is an advantage, • Strong Microsoft Office skills, particularly Outlook, Word, Powerpoint and Excel, • Excellent oral and written communication, • Meticulous attention to detail and ability to prioritise deadlines, • Strong organisational skills with the ability to manage multiple tasks at once, • Strong interpersonal skills and able to adapt style and approach to fit the situation, • Ability to handle sensitive information with the highest level of confidentiality and professionalism, • Able to work in a fast-paced environment whilst maintaining appropriate service levels, • Able to build strong effective working relationships within the business and with other members of the HR team, • Strong team player – able to recognise when help is required during busy periods Benefits Here are some of the Benefits and Perks offered at MARI Group: • Hybrid work environment (blend of in-office and at-home days), • Pension match and access to a bespoke pension scheme, • Paid Parental Leave, • Employee Assistance Programme, • Enhanced gyms, wellness and financial wellbeing apps access via Wellhub, • Flexible Paid Time Off Our Diversity & Inclusion Statement MARI believes in the power of live experiences to unite people — and we know that can only be achieved when we reflect the full diversity of the world around us.
