Job Description Role: Choral Operations Coordinator: Run the Choral Operations, supporting Concordia Choir, Master Chorale, Donne di Canto, and Men's Chorus. Music Office Assistant: Provide assistance and administration for the daily operations of the Music Office. Resident Performing Artist: Rehearse and perform as a member of Concordia Master Chorale. This position works 10 months per year (August 1 through May 31). Essential Duties and Responsibilities include: To perform this job successfully, an individual must be able to accomplish each of the below duties satisfactorily: Choral Operations Coordinator • Financial Processing As directed by choir directors, handle purchasing and invoice payment for financial org. Route payments through Chrome River. A university credit card will be provided to support this work., • Choral Sheet Music Library Manage the choral sheet music library. Maintain professional standards of organization and filing., • Part Preparation, Distribution, and Collection Prepare parts for distribution to ensemble members and guest musicians. Collect parts, maintaining standards that ensure good care of Concordia's sheet music collection and rental parts (a fine system may be introduced)., • Rehearsal Logistics Make sure each rehearsal is set up to the specifications of the director, and that following rehearsal, the rehearsal room is restored to its standard set-up., • Performance logistics Handle all preparatory performance logistics and in-concert operations logistics for choir performances., • Choir Seating Plans In consultation with ensemble director(s), devise and draft choir seating plans for venues., • Transportation of Equipment Rent a vehicle as needed and organize the transportation of concert equipment (risers, programs, displays, etc.) to off campus venues. Serve as driver as needed., • House A/V Get trained on basic functions of BMC A/V system so these can be managed: 1-2 microphones for speaker(s) during the concert, powerpoint or video projection, and basic lighting scenes., • Recruitment Communications - provide monthly updates to prospective choir students about choir happenings and other recruitment initiatives as assigned., • Social Media - share content of special interest, including text and image or video (more than box office concert listings) with Community Engagement Manager for possible usage on social media channels. One per event is the standard., • Travel/Tour Logistics In cooperation with the Director of Choral Activities, organize logistical travel and performance plans for tours., • Student Workers Recruit and supervise student workers to assist in the execution of the above duties, within the confines of a student worker payroll budget assigned by the Assistant Dean., • Communication Maintain segmented email lists for efficient communication to music faculty, staff, and students., • BMC Scheduling Schedule manager for all Borland-Manske Center music rooms, using an online room booking application., • Calendars Manage Music Department Events Calendar, Music Department Production Calendar, Music Rooms Calendar, Jury Exams Calendar, and music events in 25Live. Be the first problem solver of scheduling conflicts, work with directors to resolve them, confirm schedule and room assignment accuracy., • Applied Music Support Ensure room availability for all private lessons. Organize and handle logistics for juries in Commercial Music and other areas as directed. Process junior/senior recital applications. Finalize and print programs for noon/honor recitals (app. 13 per semester). Work closely with Program Director of Chamber Music to organize, publicize, • Noon Recitals Provide all office support for noon recitals (app. 13 per semester) including compiling repertoire lists into final print program formatting and printing, internal communications, management of student workers doing video recording, internal video distribution to private teachers and students., • Financial Processing Handle purchase orders and invoice payments in Emburse for the following: Keyboard/Jazz Activities and Commercial/Worship Band. A university credit card will be provided to support this work., • Rehearsal/Event Logistics Handle all rehearsal/event logistics that are not primarily managed by other operations coordinators. This includes recitals, special events, and guest presenters. Make sure each rehearsal/event is set up to the specifications of the rehearsal/event director, and, following, that the room is restored to its standard set-up., • Lutheran Elementary School Tournament: Work with Director of Music Education to produce the music festival portion of LEST., • Performance Attire Manage system to efficiently process measurements and orders for performance attire, including alterations. Also, select the attire vendor., • Office Supply Inventory & Printer Maintenance: Monitor and restock office supplies as needed, including printer paper and toner cartridges.
