Job DescriptionSalary: $19.00 Homecare Office Coordinator Productive Homecare Services is seeking a dependable, organized, and coachable Homecare Office Coordinator Entry Level to support the daily operations of our growing Personal Care Services agency. This position is ideal for someone who is new to the homecare industry but has strong communication skills, attention to detail, professionalism, and a willingness to learn. The Homecare Office Coordinator will assist the Administrator and leadership team with administrative tasks, caregiver and client communication, scheduling support, documentation tracking, and general office coordination. This role is designed as a training and growth position. The selected candidate will receive guidance and training in homecare operations, client file management, caregiver documentation, payroll preparation, Sandata/EVV processes, agency policies, and applicable Nevada personal care agency requirements. Position Summary The Homecare Office Coordinator supports smooth daily office operations by assisting with administrative duties, client and caregiver communication, scheduling support, documentation, file maintenance, and general office organization. The ideal candidate must be reliable, professional, organized, discreet with confidential information, and able to communicate clearly with clients, families, caregivers, and agency staff. While prior homecare experience is helpful, it is not required. The agency is willing to train the right person who demonstrates maturity, consistency, attention to detail, and a strong desire to grow with the company. Key Responsibilities The duties of the Homecare Office Coordinator may include, but are not limited to: Administrative Support • Assist the Administrator with daily administrative tasks and office operations., • Answer phones, respond to messages, and route calls appropriately., • Greet clients, caregivers, applicants, and visitors in a professional manner., • Maintain office supplies and help keep the office organized., • Assist with correspondence, forms, scanning, filing, copying, and data entry., • Assist with client communication under the Administrator's direction., • Help maintain client files and ensure required documents are complete and organized., • Assist with tracking service agreements, care-related documents, and client updates., • Support the administrative preparation and filing of assessment and care plan documentation as directed by leadership., • Communicate client concerns or changes to the Administrator or appropriate leadership team member., • Assist with caregiver communication regarding schedules, documentation, and office updates., • Support the tracking of caregiver credentials, personnel records, and required documents., • Assist with onboarding paperwork for new employees or contractors., • Help monitor completion of assigned caregiver documentation and office requirements., • Escalate staff concerns, call-outs, complaints, or performance-related issues to the Administrator., • Assist with caregiver scheduling and schedule updates as trained., • Help communicate schedule changes to clients, families, and caregivers., • Assist with tracking caregiver availability, missed visits, call-outs, and coverage needs., • Support care coordination activities under the direction of the Administrator or designated leadership., • Assist with collecting, reviewing, and organizing timesheets, visit records, and payroll-related information., • Learn and assist with Sandata/EVV documentation review, visit verification, and exception tracking., • Assist with preparing payroll information for review and approval by leadership., • Support billing preparation tasks as trained., • Learn basic Nevada personal care agency requirements, company policies, and documentation standards., • Assist with maintaining client records, personnel records, and agency files., • Help ensure required documents are properly completed, filed, and updated., • Assist with internal audits of client and employee files as directed., • Support the Administrator in maintaining organized records for compliance and operational purposes., • Follow all company policies related to confidentiality, professionalism, and client privacy., • Participate in after-hours or on-call support only after training and as assigned., • Document after-hours calls, caregiver call-outs, client concerns, or schedule issues accurately., • Escalate urgent concerns to the Administrator or designated leadership contact. The ideal candidate must: Be at least 18 years of age. Have strong verbal and written communication skills. Be dependable, punctual, and professional. Be organized and able to manage multiple tasks. Be comfortable speaking with clients, caregivers, families, and office staff. Be willing to learn homecare operations, Sandata/EVV, scheduling, payroll support, and documentation processes. Be able to maintain confidentiality and handle sensitive information appropriately. Have basic computer skills, including Microsoft Word, Excel, email, and general office software. Be able to follow instructions and accept feedback. Be emotionally mature and able to work in a fast-paced care environment. Have a positive attitude and willingness to grow with the agency. Preferred Qualifications The following are helpful but not required: Prior caregiving or healthcare experience. Experience with scheduling. Experience with payroll preparation. Experience with Sandata, EVV, or homecare software. Knowledge of Medicaid, private pay, or insurance billing. Experience working with seniors, disabled adults, or vulnerable populations. Basic Nevada PCA compliance awareness. This position works in a homecare office environment supporting clients, caregivers, families, and agency leadership. The role requires professionalism, organization, confidentiality, and the ability to manage multiple priorities throughout the day. This position may involve time-sensitive tasks, frequent phone calls, schedule changes, and communication with individuals who may be experiencing stress, care concerns, or urgent needs. The agency will provide training and support to help the employee grow into the role successfully.
