Ingenium Schools currently operates several charter schools, serving students throughout Los Angeles. POSITION SUMMARY: The Enrollment Counselor supports prospective families throughout the enrollment process by providing responsive, high-quality support via phone, email, and digital systems. This role ensures families successfully complete applications, submit required documentation, and move efficiently through the enrollment pipeline. The Enrollment Counselor works primarily in a remote or hybrid environment and collaborates closely with school-site office staff to ensure enrollment files are complete, compliant, and aligned with organizational goals. This role is results-driven and accountable for supporting enrollment targets through consistent follow-up, communication, and data management. ESSENTIAL FUNCTIONS & JOB DUTIES: KEY CONTRIBUTIONS • Demonstrates knowledge of and supports Ingenium Schools noble cause, values, standards, policies and procedures, operating instructions, confidentiality standards, and code of cooperation, • Strive to implement, by instruction and action, Ingenium Schools philosophy of education and goals/objectives in connection with Ingeniums Signature Practices, • Continuously maintain and improve professional competence, • Attend mandatory trainings, professional meetings, and educational conferences, as required, • Serve as a primary point of contact for prospective families via phone, email, and online platforms., • Guide families through the enrollment and application process from initial inquiry to completion., • Proactively follow up with families to ensure required documentation and forms are submitted accurately and on time., • Provide clear, accurate information about charter schools and Ingenium programs., • Support reporting related to enrollment progress and trends., • Maintain compliance with enrollment procedures and deadlines., • Collaborate with school-site office staff to ensure enrollment files are finalized and ready for student onboarding., • Communicate enrollment updates and escalate concerns when necessary., • Participate in team meetings and professional development., • Support peak enrollment periods with flexibility and urgency., • Maintain productivity and accountability in a remote or hybrid work environment., • Use organization-approved systems and equipment appropriately., • Duties may be adjusted or expanded based on organizational needs., • Monitor and manage an active enrollment pipeline to ensure timely application completion., • Ensure confidentiality and security of student records., • Demonstrate knowledge of, and support Ingenium Schools' mission, vision, value statements, standards, policies and procedures, operating instructions, confidentiality standards, and code of conduct, • Understand charter schools; able to educate parents about what charter schools are and are not, dispelling charter school myths, • Ability to speak and write fluent English and Spanish, • Ability to assist with translations (English to Spanish), • Basic knowledge of computer programs (e.g., Google Docs, Excel, etc.), • Ability to learn computer software for data entry, • Process documents and materials; assist in the creation of student enrollment records, ensuring their accurate completion; distribute flyers; enter enrollment data, update student information and process student data, • Fill out forms with student information; File papers, as needed, • Responsible for the maintenance, storage, security and confidentiality of student enrollment files; responsible for inputting and maintaining student data into Student Information System (SIS); create statistical reports as needed, • Track student application status and maintain accurate records in the Student Information System (SIS)., • Attention to detail, • Answer phones using a professional and courteous manner; route calls appropriately; kindly answer parent questions and assist with enrollment, • Maintain a helpful attitude and give good customer service at all times, • Ability to walk community streets to hand-out fliers/talk to families, • Knock on doors, giving families information, • Approach parents outside stores/restaurants etc. giving them information about Ingenium Schools and answering questions, • Form relationships with local businesses and educate owners about Ingenium Schools, • Visit local businesses and leave fliers, • Actively find and participate in fairs and community events on weekdays and weekends., • Make presentations at preschools and places where families meet, • Make calls and receive calls from all campuses and interested families, • Participate in work-related training and conferences, • Use appropriate language and respect others at all times, • Timely deliver forms to supervisor, • Use time efficiently, • Maintain reliable transportation (i.e., ability to travel from one school site to another, as needed), • Dress appropriately, wearing Ingenium uniform shirt and badge with the Ingenium logo at all times, • Use equipment provided only by Ingenium, • Other duties as assigned Collaboration: • Confer with school-site office support specialists and administrative managers to develop and implement strategies to improve enrollment, • Accurately and timely communicate enrollment status to supervisor and school-site, • Maintain and improve professional competence and participate in professional development opportunities, • Actively participate in team meetings, • Assist with school/organizational events, as needed The duties and responsibilities are subject to change if needed and are not limited to the duties above. KNOWLEDGE AND ABILITIES KNOWLEDGE OF: • Ingenium Schools and charter schools, • Ability to speak to people of all cultures, backgrounds, and communities, • Charter school enrollment processes, • Customer service and family engagement practices, • Data tracking and digital record management systems, • Communicate effectively via phone, email, and written correspondence, • Work independently while meeting performance expectations, • Manage multiple cases simultaneously with strong attention to detail, • Maintain organization and consistent follow-up, • Collaborate effectively with cross-functional teams, • Maintain positive attitude, • Maintain regular attendance (ability to find staff substitute limited), • Establish a culture of high expectations, • Interact appropriately with people all ages, • Communicate effectively, both orally and in writing, • Effectively collaborate with colleagues, parents, and community, • Read and understand rules and policies, labels, and instructions JOB QUALIFICATIONS: EDUCATION/EXPERIENCE: • High School Diploma or GED equivalent, • Experience in enrollment, admissions, customer service, call-center, or administrative support preferred, • CPR/First Aid (provided by Ingenium post-hire, if needed), • Up-to-date TB test and background check required at time of hire WORKING CONDITIONS ENVIRONMENT: Work is primarily performed in a remote or office-based setting. Requires extended periods of computer use, phone communication, and virtual collaboration. PHYSICAL DEMANDS: Primarily sedentary work. Must be able to operate a computer, telephone, and other standard office equipment for extended periods. WORK SCHEDULE/LOGISTICS The working hours vary according to the needs of the organization. Work days include weekdays and weekends as needed for recruitment and enrollment efforts. The employee must have a car or get his own transportation to carry out and complete requested assignments. EMPLOYMENT AT-WILL All Ingenium employees are employed at will.
