Job DescriptionJob Title: Facilities Coordinator Job Description We are seeking a dedicated Facilities Coordinator to join our team. This role involves supporting the Site and/or Assistant Facility Managers in various operational activities, including maintenance, operations, accounting and finance, vendor oversight, equipment and supplies management, and occupancy services. This position is initially for covering a leave of absence, with the potential to convert to a permanent role if an opening arises. Responsibilities • Conduct inspections of multiple floors, ranging from 4 to 6 floors, and cover reception duties as needed., • Support a team of 7 coordinators, handymen, and assistant facility managers., • Perform daily walkthroughs to ensure a clean and organized office environment., • Respond promptly to work orders, ensuring compliance with KPIs and delivering excellent customer service., • Identify opportunities for operational and service improvements, making recommendations for enhancements., • Schedule and manage repairs, maintenance, minor works, and other work requests, tracking them to completion., • Provide information and direction to vendors, facilities staff, and other service providers to ensure minimal disruption during work execution., • Assist in procuring vendors and services as required., • Coordinate the delivery of site amenities, such as fitness, food services, massage, and transportation support., • Provide coordination and support for events, meetings, and conference facilities., • Manage additional duties, including reception and guest support, mail and courier services, office supplies and equipment maintenance, landlord relations, and building access pass management., • Update and maintain accurate records and official documentation for the site, including web pages., • Maintain and propose emergency response plans, including evacuation and after-hours emergency response.Essential Skills, • Experience in facilities maintenance and administrative support., • Proficiency in ticket management and customer service., • Experience with Google tools is a high advantage., • Corrigo experience is a plus., • Excellent communication, organization, and problem-solving skills., • Ability to work independently with minimal supervision., • Understanding of basic technical aspects of property management, including computer room air-conditioning, chiller systems, fire protection systems, and mechanical and electrical systems.Additional Skills & Qualifications, • Prior experience in facilities, property management, hospitality, or related fields is preferred., • Knowledge of local occupational health and safety requirements, critical facilities, and vendor management for specialized services is advantageous., • Proficiency in a range of information technology tools and platforms., • Self-motivated, confident, energetic, and flexible.Work Environment This position is based at 1021 Valley St., Seattle, WA. The work schedule is either 7:30 AM to 4:00 PM or 8:00 AM to 4:30 PM. The role requires being on your feet for long periods. The workspace is small, without a dedicated desk. Parking is available across the street, with options for street parking and public transportation. The work environment is collaborative, with a focus on teamwork, cooperation, and performance excellence. Job Type & Location This is a Contract position based out of Seattle, WA. Pay and Benefits The pay range for this position is $20.00 - $25.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
