The Administrative Operations Manager for Accelerated Nursing Programs provides high-level administrative, operational, and project-management support to the Associate Dean and program directors responsible for the Pacific Lutheran University School of Nursing Accelerated Bachelor of Science in Nursing (ABSN) programs. This position manages complex administrative processes across multiple locations, coordinates work involving internal and external partners, develops and maintains systems that support efficient program operations, and exercises independent judgment in addressing non-routine matters. The position serves as a central point of coordination for the Auburn and Lynnwood ABSN programs and supports consistency, communication, compliance, and operational effectiveness across sites. Reports to the Associate Dean. The essential functions and responsibilities include managing and coordinating day-to-day administrative operations for the ABSN Associate Dean and program directors across multiple campuses. Serve as a primary administrative liaison among School of Nursing leadership, faculty, staff, students, university offices, clinical and community partners, vendors, and other external constituents. Coordinate complex calendars, meetings, travel, events, deadlines, and recurring program activities for the Associate Dean and program directors; independently resolve scheduling conflicts and anticipate operational needs. Develop, implement, and maintain operational systems, workflows, templates, tracking tools, and standard operating procedures that support consistent operations across ABSN locations. Manage high-priority projects and assignments on behalf of the Associate Dean and program directors, including establishing timelines, coordinating stakeholders, monitoring deliverables, and providing status updates. Prepare, edit, and distribute professional correspondence, reports, presentations, meeting materials, agendas, minutes, and other documents requiring accuracy, discretion, and knowledge of School of Nursing operations. Collect, organize, analyze, and summarize operational data for leadership decision-making, including enrollment, staffing, workload, scheduling, budget, student support, and program activity data. Escalate, manage, or resolve complex or sensitive requests from students, faculty, staff, and external partners; identify appropriate resources, elevate matters when needed, and ensure timely follow-through. Support preparation, monitoring, reconciliation, and tracking of program budgets, purchasing, invoices, contracts, purchasing-card transactions, reimbursements, and related financial documentation in coordination with university offices. Coordinate administrative aspects of faculty and staff recruitment, onboarding, appointment, contract, workload, evaluation, and records processes, while maintaining confidentiality and compliance with university procedures. Support regulatory, accreditation, and institutional reporting by organizing records, maintaining documentation systems, tracking deadlines, compiling evidence, and coordinating submissions as directed by program leadership. Coordinate logistics for orientations, faculty development, student events, pinning or recognition activities, advisory meetings, site visits, and other program functions. Manage and maintain shared electronic records, databases, calendars, contact lists, document repositories, and other administrative platforms; establish quality-control practices to ensure information is accurate, current, accessible, and secure. Represent ABSN administration on cross-functional committees, working groups, and special projects as assigned relevant to program delivery. Provide leadership, training, workflow coordination, and functional direction to student employees, temporary staff, or other administrative personnel when assigned. Identify opportunities to improve administrative efficiency, service quality, and business processes; research options and recommend solutions to School of Nursing leadership. Provide time-sensitive operational support during peak periods, absences, program launches, and urgent or time-sensitive situations as needed. Travel among PLU's Tacoma, Auburn, and Lynnwood locations to support operational consistency as needed. Some remote work may be available based on operational needs and university policy. Strong data-management and analytical skills, including the ability to create reports, monitor trends, reconcile information, and maintain accurate records. Ability to handle confidential, sensitive, and personnel-related information with discretion. Advanced proficiency with Microsoft Office and Google Workspace, including spreadsheets, shared drives, calendars, forms, and collaborative documents. Ability to learn and effectively use university systems and specialized platforms such as Banner, Slate, NursingCAS, learning-management systems, scheduling tools, and financial systems. Ability to build collaborative relationships and work effectively in a fast-paced, team-oriented, multi-campus environment. Flexibility to adjust work location, schedule, and priorities in response to program needs. Required qualifications include a bachelor's degree and two years of progressively responsible administrative, executive support, program operations, project coordination, or office management experience OR 4 years of related experience. Education may substitute for some experience. High school diploma or GED. Will travel regularly among the Tacoma, Auburn, and Lynnwood locations. Reliable transportation. Finalist candidates must satisfactorily complete pre-employment background checks. Preferred qualifications include a bachelor's degree in business administration, higher education administration, organizational leadership, healthcare administration, or a related field. Experience in higher education, healthcare education, nursing education, or another regulated professional program. Experience supporting senior academic leaders, directors, or executives. Demonstrated experience coordinating complex projects, processes, or operations involving multiple stakeholders. Experience using independent judgment and managing confidential information. Experience with budget tracking, purchasing, contracts, personnel processes, event coordination, and administrative policy implementation. Experience working across multiple sites or with geographically distributed teams. Experience with Banner, Slate, NursingCAS, Google Workspace, Microsoft Office, and related enterprise systems. Work is primarily performed in office and remote-work settings and requires frequent computer use, sitting, keyboarding, and virtual communication. Regular travel among the Tacoma, Auburn, and Lynnwood campuses is required. Occasional evening or early-morning work may be required for orientations, events, meetings, program launches, or urgent operational needs. Some remote work may be available in accordance with university policy and operational requirements.
