POSITION SUMMARY This position is responsible for the daily operations of the volunteer and food pantry program, including community service workers for Tulsa SPCA. This position includes, but is not limited to recruitment, development, retention, and management (scheduling and recording) of all individual and group volunteers including those assigned to community service. The person in this position is expected to enhance community engagement through the planning and volunteer staffing of off-site events. The Volunteer Coordinator will be expected to work closely with all departments within the organization to ensure program satisfaction while meeting the mission and vision of Tulsa SPCA. This job classification has been designated as a safety sensitive job classification in accordance with the Oklahoma Medical Marijuana and Patient Protection Act, 63 O.S., § 427.1 et seq., (OSCN 2019), effective August 29, 2019. The ideal candidate will have people-centered skills and the ability to thrive in a mission-driven environment. The position is based in Tulsa, OK. ESSENTIAL FUNCTIONS & DUTIES Volunteer Coordinator: • Serve as the primary point of contact for volunteers, addressing inquiries, concerns, and scheduling matters in a timely and professional manner., • Administer and maintain the CERVIS volunteer management system to effectively coordinate volunteer activities and track engagement., • Oversee all aspects of the volunteer lifecycle, including recruitment, onboarding, training, scheduling, development, and retention., • Ensure appropriate volunteer coverage for all onsite and offsite programs, events, and operational needs., • Utilize and manage volunteer software systems to support program operations and align with organizational objectives., • Cultivate a positive, inclusive environment that promotes volunteer engagement, accountability, and satisfaction., • Supervise daily volunteer activities and provide consistent, constructive performance feedback., • Remain present and accessible during working hours to provide guidance and support to volunteers., • Deliver clear instruction and hands-on training to ensure volunteers understand roles, responsibilities, and expectations., • Enforce compliance with safety protocols, sanitation standards, and organizational procedures., • Coordinate, prepare, and execute onsite programming in collaboration with the Director of Community Impact., • Submit weekly and monthly reports detailing volunteer participation and program performance., • Collaborate closely with the Community Engagement Manager to support outreach and engagement initiatives. Food Pantry Responsibilities: • Utilize Shelterluv to maintain and update client and inventory records with accuracy., • Process and fulfill food assistance requests in a timely and efficient manner., • Review and manage retention requests., • Coordinate and schedule client pickup appointments to ensure smooth operations., • Monitor and respond promptly to emails and voicemail communications., • Maintain professional and consistent communication with clients and team members. Education/Experience • Primarily an office setting with exposure to shelter environments., • Ability to bend, walk, reach, push, pull, sit, and stand for extended periods of time., • High school diploma or equivalent required; bachelor's degree preferred., • Strong interpersonal, customer service, verbal and written communication skills., • Excellent organizational skills and attention to detail., • Ability to work flexible hours as required., • Passion for animal welfare and alignment with our mission., • Respect for animals. Physical Environment • Primarily an office setting when not working offsite events or assisting with special projects., • Exposure to odors, wet, humid, and dusty conditions, airborne particles, fur, hair, animal waste, and various cleaning chemicals and supplies., • May be exposed to sick, injured, and aggressive animals., • Ability to bend, walk, reach, push, pull, sit, and stand for extended periods of time., • Travel to area events/locations in year-round weather conditions., • Noise level is moderate to high., • Possibility of being bitten or scratched by animals. FT position, schedule Thursday- Monday, with Tuesdays and Wednesdays off. Weekends are required. Evenings and holidays will be required at times.
