The Job Madison Wells is seeking a highly organized, proactive, and service‑oriented Executive Assistant/Coordinator for a dual desk support to both the President and Chief Content Officer (PCCO), while also providing day‑to‑day administrative and operational support to the Executive Producer (EP) of the Madison Wells Live division. The ideal candidate is detail‑driven, discreet, calm under pressure, and thrives supporting multiple senior executives simultaneously. This role balances (i) managing the executives’ day-to-day administrative needs and the logistics of the NYC office with (ii) covering film, television, and theatre projects for the company. It requires exceptional judgment, strong follow‑through, and the ability to anticipate needs before they arise - hallmarks of top‑tier agency and entertainment executive assistants/coordinators. This role requires a high level of accountability, responsiveness, and ownership. The Executive Assistant/Coordinator is expected to think one step ahead, anticipate needs, and operate as a trusted extension of the executives they support. This position is ideal for an executive assistant/coordinator who takes genuine pride in operational excellence and supporting senior leadership at the highest level. The Responsibilities Executive Support • Manage complex, high‑volume calendars across two executive desks, balancing internal priorities with external partner and talent meetings., • Act as a strategic gatekeeper—screening, prioritizing, and coordinating incoming requests with sound judgment and discretion., • Own information flow across the PCCO and EP’s desks, ensuring priorities, materials, and communications are aligned, timely, and clearly surfaced., • Prepare meeting materials, agendas, call sheets, and follow‑ups to ensure executives are fully briefed and prepared., • Track action items, deadlines, and deliverables related to company strategy, content development, partnerships, and MW Live initiatives., • Book and manage complex domestic and international travel arrangements., • Prepare and submit expense reports and reimbursements accurately and on time., • Maintain organized digital and physical filing systems., • Provide administrative and organizational support tied to the PCCO’s content strategy, creative pipeline, and cross‑division initiatives., • Assist with coordination across film, television, theatre, and live entertainment content teams., • Support content reviews (including by doing script coverage), internal creative meetings, and external partner communications., • Support the PCCO in managing cross‑platform content initiatives, including internal alignment, external partner coordination, and preparation for executive‑level presentations and reviews., • Support EP with scheduling, correspondence, travel, expense reporting, and production‑related coordination., • Interface with producers, creatives, agents, attorneys, and theatre partners in a polished, professional manner., • Maintain production grids, contact databases, and project trackers across the Live slate., • Oversee general office facilities coordination, including maintenance of office supplies, kitchen inventory, catering, deliveries, cleanings, and vendor relationships., • Coordinate visiting executives, guests, and partners to ensure a seamless in‑office experience., • Serve as a point of contact for building management and office‑related issues., • Maintain a well-run, professional office environment that reflects the standard of the company. The Essentials • Minimum of 2+ years of experience supporting senior executives in entertainment, media, live events, or talent agency environments., • Bachelor’s Degree., • Exceptional organizational, time‑management, and prioritization skills., • Strong written and verbal communication skills with polished professional presence., • High level of discretion and ability to handle confidential information., • Comfortable working in a fast‑paced, deadline‑driven environment with shifting priorities., • Ability to create, manage and maintain industry-relevant databases and research., • Ability to read and cover high volume of scripts., • Proficiency with Microsoft Office Suite, Outlook, Excel, Zoom, Teams, and cloud‑based file systems., • Familiarity with theatre, film, television, or live entertainment workflows necessary., • Ability to work effectively with people of diverse backgrounds and experiences. Compensation: This is a Full Time, Exempt position based in New York. The salary range for this role is $67k-$72k Annually and represents the company’s good faith and reasonable estimate of the range of possible compensation at the time of posting. Actual compensation will be dependent upon several factors, including but not limited to, the candidate’s relevant experience and qualifications.
