So, before you skim this post — don’t just skim.... This is not a normal “Personal/Executive Assistant” job post. This role is part executive assistant, part operations coordinator, part life manager. You will manage complexity. Anticipate needs before they’re spoken. Protect the CEO’s time, energy, and focus. Handle high-level business tasks and personal matters with precision and discretion. You must be organized, emotionally intelligent, tech capable, highly trustworthy, and confident working with someone who thinks fast, expects excellence, and deeply values loyalty and integrity. This is one of the most important hires in our 22-year company history, and definitely the most exciting time in our company! And that's after we scaled, launched, and exited a company in 2015. Retired for all of 3 months, and realized....we LOVE what we do every day to ever retire again. We are in a powerful, rebuilding, expansion phase right now and we're seeking some "exactly right" Superstar people to join us. We are currently 8 people, and growing immediately to 25+ We've expanded into our new 11,000 sq ft HQ, and we're remodeling it heavily to suit our future needs. We operate multiple companies surrounding Real Estate Investment, Construction, a Realty/Brokerage, Property Management, and much more. The good news is, none of this is new to us. You're not betting on a "maybe." We've "been there, done that" for 22yrs now. We've thrived during the last recession, and even in these weird economic times...we're thriving again. We do very well in up or down markets, so we're as "recession-proof" as it gets. We are financially stable, and aggressively growing again after navigating some serious life and health curveballs in the past. Fun times! (Happy to share openly at an interview, etc). The next 4–5 hires will directly shape the next decade of this organization. That’s not fluff. That’s reality. We are expanding across multiple integrated businesses. We are systematizing, tightening operations, upgrading CRMs, rebuilding structure, hiring strategically, and scaling intelligently. You'll need to be capable of fully managing the CRM, working with remote developers to upgrade it as needed, and keep everyone on track with task management and other tools. What other tools do you know and have experience with to help streamline, grow, and systematize a business? The more you can show REAL, DIRECT, PROVEN past results with some kind of fast-paced, higher-ticket company like buying houses/construction/etc....the better the chance you're a PERFECT fit here! Can you read people well, use intuition to get answers, and help us hire some true A players? Can you negotiate well and LOVE a challenge, and LOVE the feel of setting a goal and then crushing it? We negotiate in dozens of ways here, from crews to vendors, homeowners, lenders, all the way down to our Verizon phone service and Spectrum Internet plan. If you love to be frugal and NAIL a winning result, and feel pride and confidence in winning in that exact way.....you'll love our psychology and culture a ton (as you help GROW and BUILD it!) Can you represent us well in a COC or HOA board meeting on behalf of our company and sell them on why they should work with us? You are the face who handles a ton of direct CEO tasks, afterall! Tons of responsibility, which leads to tons of recognition, rewards, and much more! And the person who steps into this Executive Personal Assistant role? You won’t just “have a job.” You’ll help architect the backbone. Let me be very transparent: We pay a moderate level base salary to occupy a chair here....but we never try to attract anyone with the boring "base salary." The actual "wearing of many hats" is too detailed to possibly fit here. It covers many roles, so we focus on simply being GREAT at what we do, and execute in each of them. Compensation: $75,000 - $85,000 yearly Responsibilities: • Own and strategically manage the CEO’s calendar, priorities, and daily execution, • Prepare meeting briefs, talking points, follow-up tracking, and accountability systems, • Screen calls and emails; respond on behalf of the CEO when appropriate, • Track projects across multiple companies and ensure deadlines are met, • Coordinate with attorneys, bankers, vendors, contractors, and partners, • Research and vet high-level purchases (vehicles, equipment, services, etc.) including full due diligence to prevent risk or fraud, • Organize medical, professional, and personal appointments with complete discretion, • Track important relationship milestones (client birthdays, partner events, gifts, follow-ups), • Hire and manage freelancers (Upwork developers, designers, tech support), • Help organize and optimize CRM systems, software tools, and internal processes, • Review contracts, proposals, and documents before CEO review, • Assist in procurement and vendor negotiations to ensure best value, • Serve as communication bridge between departments and help restore structured office rhythm, • Cross-train in multiple company roles to ensure versatility during growth, • Protect confidentiality and uphold non-disclosure and non-compete standards at all times 100% Transparency as we always require - This role is not confined to 9a-6p Office Hours. Some responsibilities require flexibility and ownership beyond standard hours when necessary. It has to be a great fit, like a glove, and we have to work VERY well side by side to execute at a high level. One of those "1+1=5" kinda scenarios. We have to actually LIKE each other and get along well, as life is truly way too short to not enjoy and be challenged in a great way by what you do for "work!" Qualifications: • Minimum 2 years in a high-level Executive Assistant, Operations Coordinator, or similar role, or the ability to easily prove you can crush it if your past experience is NOT this sort of thing!, • Strong tech proficiency (CRM systems, project management software, Microsoft Office, Google Workspace, ability to learn new systems quickly), • Exceptional written and verbal communication skills, • Extremely detail-oriented; nothing slips past you, • High emotional intelligence and ability to read personalities and situations, • Calm under pressure and capable of handling direct communication styles, • Naturally proactive and solution-oriented, • Discreet and trustworthy with sensitive financial and personal information, • Comfortable in a fast-paced, high-expectation environment, • Long-term career mindset, and a mindset that thrives on bettering the entire team, by supporting the CEO in his Strategic Vision, and thus...the entire team thrives. Real estate investment, construction, operations, or private business experience is preferred. Traditional Realtor-only backgrounds are typically not the best fit for this role at all. It's more of "nursing, giving, caring heart" kind of role for sure. All hires are subject to confidentiality and non-compete agreements.
