Job Description JOB-19446 Executive Secretaries and Administrative Assistants - 25681 Summary: The successful candidate will assist with all aspects of NY’s prescription program, paper and electronic; prescriber education, issuing controlled substance licenses to healthcare facilities, processing drug destruction requests from healthcare facilities, providing guidance to pharmacies with submission of dispensed prescription data, and capturing complaints to ensure that health and safety standards are met and protect the public health by combating the illegal use and trafficking of prescription controlled substances. General duties: • Performing administrative support responsibilities such as maintaining various tracking and database systems., • Formatting documents in Microsoft Word, PowerPoint, and Excel., • Performing data entry operations and data quality control., • Monitoring shared email accounts and drafting professional responses., • Answering phones, referring calls, and answering inquiries., • Receiving and processing mail and fax documents., • Printing, scanning, faxing and photocopying., • Organizing and maintaining electronic (and paper) files. Minimum qualifications include: • Excellent working knowledge of Microsoft Office applications (specifically Word, Excel, PowerPoint, and Outlook)., • The ability to work on a team and handle multiple shifting priorities., • Good organizational skills., • Ability to correspond with healthcare professionals., • Familiarity working in electronic databases., • Candidates should be dependable, highly motivated, individuals and able to work in a fast-paced, high-volume office environment. Preferred qualifications include: • Familiarity and knowledge of varied healthcare entities; including pharmacies, practitioners, and healthcare institutions., • Familiarity and knowledge of the New York State Health Commerce System.
