Job Description Yanet's Family Home Care is seeking a full-time Administrative Assistant. This position will require a friendly, organized, driven, detail-oriented team player to support our office staff and be the first line of communication for clients and caregivers. This is a client facing position that facilitates the efficient operation of the agency. Perfect for a recent college grad who wants to work for a boutique home health care company serving the local community in the metropolitan area. We need someone with excellent communication skills in English and Spanish (a must!). Primary Responsibilities: • Greet visitors and welcome them in a friendly, warm, and professional manner!, • Effectively handle multiple incoming telephone lines with ability to answer general questions and write clear messages., • Assist new candidates (CHHAs) with the initial employment application to complete on-boarding processes., • Notify office staff of new hires after completion of initial orientation., • Prepare new client folder, new applicant folders & orientation packages., • Sort and distribute checks/W-2s. Gather direct deposit forms., • Maintain office supply inventories and office equipment., • All associated departmental filing, ex., weekly timesheets, shredding, faxing, scanning, and photocopying., • Handle all incoming/outgoing mail., • Cooperate with coordinators to cover cases or call outs as needed., • Participate in new hire orientations, in-service trainings, office events, and related duties as assigned by the Director of Operations., • Clean and maintain common space. Required Knowledge/Skills/Abilities: • Minimum 2 year degree, • Personable and friendly attitude,, • Able to communicate clearly and effectively in Spanish and English (absolutely required), • Must be able to learn and utilize our Internet-based client management software (HHAeXchange), • Must be able to prioritize, work with minimal supervision, and be a good communicator, • Organized, detail-oriented, and self-motivated, • Highly organized with exceptional time management skills., • Ability to multi-task and operate effectively in stressful situations. Compensation: • The Staffing Coordinator will start with a competitive wage with an annual performance based raise as well as health benefits and PTO.
