Position Summary The Operations Coordinator plays a critical role in ensuring smooth day-to-day operations, including inventory management, order fulfillment, logistics coordination, and administrative support. This role supports cross-functional teams to maintain operational efficiency, accurate reporting, and exceptional customer experience. This is a hands-on, detail-oriented role for someone who thrives in a fast-paced environment, is highly organized, and takes ownership of tasks from start to finish. Key Responsibilities Inventory & Logistics • Enter and track inbound and outbound shipments to ensure timely delivery and accurate documentation., • Coordinate and create inbounds and projects for warehouse and Amazon FBA shipments., • Coordinate and create inbounds and projects for Brand events , donations and activations, • Proactively Monitor low stock alerts and backorders; escalate replenishment needs across all skus, • Maintain inventory trackers and lead routine stock counts and reconciliations., • Manage logistics for e-commerce sites and marketplaces (including overdue and verge-of-late shipments)., • Book freight and manage delivery logistics for events, warehouse needs, and material orders., • Verify inbound receipts against POs (quantities, SKUs, lot codes, expiration dates where applicable) and coordinate discrepancies, damages, and shortages with vendors and 3PLs., • Support international shipments (e.g., Passport, UK, CA) by helping prepare/completing commercial invoices and required customs/shipping documentation. Order Management & Fulfillment • Ensure all e-commerce sites and marketplaces orders are processed and fulfilled on time., • Monitor and resolve unfulfilled, on-hold, or overdue orders across all marketplaces., • Manage customer refund requests, order discrepancies, and cancellations., • Submit tickets to ShipFusion and other fulfillment partners as needed., • Prepare and support wholesale, retail, PR, and influencer shipments., • Own the returns and replacements workflow: create RMAs, track returned units, coordinate with 3PLs on inspections, and route salable vs. unsellable inventory., • Partner with Customer Service to investigate shipment issues (lost, late, damaged, wrong item) and ensure resolutions are executed with 3PLs, carriers, and marketplaces., • Track open POs with vendors; confirm ship dates, quantities, and documentation (packing lists, COAs, etc.). OPS Administrative & Reporting Support • Create and manage purchase orders, vendor communications, and production timelines., • Monitor and reconcile invoices for freight and shipping carriers (UPS, FedEx, DHL)., • Maintain accurate documentation of inventory levels, shipment tracking, and chargeback resolutions (BNPL, PayPal, etc.)., • Prepare reporting for order metrics, marketplace performance, and inventory status., • Maintain and Optimize Ops Documentations and SOPs, • Maintain accurate SKU master data (dimensions, weights, case-packs, carton counts, barcodes) across systems., • Support new item setup in internal systems, 3PL portals, and marketplaces to ensure products are order-ready., • Update and audit logistics-related data (lead times, warehouse locations, carrier/service levels) as needed. Cross-Functional & Brand Support • Collaborate with Marketing and PR teams for product gifting, samples, and event prep., • Ensure all internal teams and external sites remain stocked with samples and product., • Support event logistics for trade shows, pop-ups, and brand activations., • Monitor and flag intellectual property issues, counterfeit/unauthorized listings, and high-risk negative reviews on marketplaces to the Operations and Brand Protection leads., • Assist the operations team with time-sensitive and urgent tasks to support business growth. Reporting & Process Improvement • Prepare and update weekly inventory and logistics reports (on-hand, in-transit, backorders, late orders)., • Track key logistics and 3PL KPIs (OTIF, dock-to-stock time, pick accuracy, shipping SLA performance)., • Document and maintain SOPs for recurring operations tasks (inbounds, FBA prep, stock counts, returns, etc.)., • Identify recurring issues or bottlenecks and propose simple process fixes or checklists to prevent repeat problems. Requirements • 3+ years of experience in operations, logistics, or administrative support (CPG, beauty, or e-commerce experience preferred)., • Strong organizational skills and high attention to detail., • Proficient in Google Suite and Excel/Sheets; experience with Shopify, Amazon Seller Central, Walmart Seller Center, or Monday.com a plus., • Excellent written and verbal communication skills., • Proactive, solution-oriented, and able to manage multiple priorities in a fast-paced environment.
