Job Description We are seeking an Administrative Assistant to join our team! You will perform clerical and administrative functions in order to drive company success. Responsibilities: • Draft correspondences and other formal documents, • Schedule appointments, • Greet and assist onsite guests, • Maintain in/outbound multiline phone system, • Maintain file systems, • Perform all other office tasks, • Front line of Communications –office phones, emails, faxes, • Present a professional image reflecting the mission of Best People. Best Practices, • Office Coverage – Perform all functions during staff breaks, lunch hours, and when team members are staffing an off-site event, • Mail and mailer projects – Disseminate mail and provide to the Office Administrator or in their absence, the Executive Director on arrival. Perform postal service mailings, including correctly reconciling multiple employer and student documents., • Data Entry – various forms of data entry using Microsoft Excel, Word, and our exclusive database system – training provided, • Follow-up – various forms of phone and email follow-up to students, contractor members, board members and sponsors, • Coordinate and assist with meeting and event logistics – conference room set up, food and beverage service, audio/visual, • Social media updates., • Graphic Designs for outreach/social media on Canva, • Keep copy room organized and clean, • Attend outreach events such as tradeshows, career faits and tabletops in support of the PHCC mission., • Process multiple forms for educational and membership purposes., • Cleaning as assigned., • Previous experience in office administration or other related fields, • Ability to prioritize and multitask, • Excellent written and verbal communication skills, with strong typing skills, • Strong organizational skills and attention to detail, • Strong communication and interpersonal relationship skills, • Team player, self-motivated, with strong leadership skills, • Emotional intelligence, ability to work in demanding, occasionally stressful, and fast-paced environment., • Proficiency in Microsoft Office suite software (Word, Excel, Outlook), Constant Contact or similar email marketing applications; multi-line VOIP phone system and standard office equipment. Knowledge in Canva a plus, • Ability and willingness to follow procedures; accept direction, reporting, and compliance processes; identify improvements and make changes., • Must be willing to travel with some evening work in the greater CA region. Occasional overnight travel may be required., • Reliability and punctuality. Bending, reaching, lifting various materials (up to 40 lbs.), sitting, and standing for long periods of time, using office equipment and computers. Safe operation and use of standard office equipment, including sharp objects. Able to communicate by phone, e-mail and confidently present in-person to small and large groups. Accuracy and concentration are required, and sometimes with multiple distractions in the immediate area. The position requires occasional travel and driving a personal vehicle. The successful candidate must have reliable transportation, a clean DMV and current license and registration.
