Job Description The Possible Zone (TPZ), seeks a Staff Accountant to manage the nonprofit organization's financial transactions related to the Accounts Payable department. This position is responsible for managing and processing all AP/AR transactions and will have a deep understanding of accounting and reconciliations accurately and efficiently, ensuring compliance with organizational policies, funder requirements, and applicable regulations. Reporting to the Controller and working with the Senior Staff Accountant and the VP of Finance and Financial Strategies, the team will continue to systematically build out the finance and accounting function of the organization to support continued growth. The ideal candidate will have extensive experience with QuickBooks Online, Coupa, GAAP, AP/AR and expense management, and is highly organized. This is a hybrid role based in our Boston Innovation Center, with the expectation of working 3 days per week in our Boston office. Responsibilities include: • Process high-volume invoices and payment requests in a timely and accurate manner., • Review all invoices for appropriate documentation and approval prior to payment., • Match purchase orders, contracts, and receiving documents to invoices., • Ensure proper allocation of expenses to appropriate cost centers, programs, and funding sources., • Maintain vendor records and ensure accurate W-9 and W-8 documentation and compliance with IRS 1099 reporting requirements., • Prepare and execute weekly payment runs (ACH, wire, and check payments)., • Reconcile accounts payable transactions and resolve discrepancies with vendors and internal stakeholders., • Collaborate with program and administrative staff to ensure proper coding and documentation., • Assist in month-end and year-end closing processes, including accruals and audit preparation., • Monitor and respond to internal and external inquiries related to accounts payable., • Maintain filing systems and records in accordance with audit and compliance standards., • Develop and execute the accounts payable strategy in alignment with the organization's goals., • Identify and implement process improvements to enhance efficiency and accuracy in accounts payable operations., • Ensure adherence to internal controls, compliance standards, and regulatory requirements., • Documents financial transactions in QuickBooks Online, • Monitors multiple bank accounts and bank transactions, • Manages Billing System and Accounts Payables in the Coupa Procure to Pay environment, • Provides support for Accounts Receivable as needed, • Work closely with finance and accounting teams to align on payment strategies and financial planning., • Support month-end and year-end closing activities, ensuring accurate financial data., • The ideal candidate will have experience in a fast-paced accounting environment, a high level of attention to detail, and a passion for supporting mission-driven work. This role will be an integral component to ensuring all expense activities are reflective of the non profit and its mission. QUALIFICATIONS: • Bachelor's degree, or comparable work experience, • 3-5 years of accounts payable management, preferably in nonprofit organizations, • Experience with an entrepreneurial venture or start-up strongly preferred, • Proficiency with QuickBooks Online, Coupa Pay, Excel, and other financial applications, • Sincere interest in working collaboratively with an energized, committed, and creative team, • Impeccable attention to detail, • Flexibility, adaptability, and the ability to remain detail-oriented in an environment in which change can happen quickly, • Ability to communicate across all levels of the organization, • Ability to pivot or innovate when necessary, • Alignment with our mission and demonstrated commitment to core competencies (Leadership, Creativity & Innovation, Collaboration, Communication, Problem Solving, Continuous Learning), • A commitment to Diversity, Equity, and Inclusion in all activities (see Statement below) COMPENSATION & BENEFITS TPZ offers performance-based compensation with merit and bonus potential.
