Position Summary: TheAdministrative & Finance Assistant is a detail-oriented role that supports both Finance and Administrative operations. This position plays an important role in ensuring smooth day-to-day business functions by assisting with finance processes, maintaining accurate financial records, and supporting front office and administrative activities. This role requires strong organizational skills, attention to detail, professionalism, and the ability to manage multiple tasks in a fast-paced environment while maintaining confidentiality and providing excellent customer service. Performance Objectives: • Support timely and accurate processing of administrative tasks for office personnel and the Finance department., • Assist in maintaining accurate financial records and efficient accounting procedures., • Provide organized and reliable support to finance, project teams, and leadership., • Deliver professional and welcoming experience to clients, vendors, and team members., • Contribute to an organized, efficient, and positive office environment. Roles & Responsibilities: Administrative & Office Support • Answer incoming calls, route inquiries, and provide general front office support., • Greet visitors, manage sign-in logs, and maintain a clean and welcoming reception area., • Collect, sort, and distribute incoming mail; coordinate outgoing shipments (FedEx, UPS, etc.)., • Order and maintain office supplies and consumables; assist with office equipment coordination., • Help manage office subscriptions (water, beverages, snacks) and maintain inventory., • Support office cleanliness and communicate with cleaning vendors as needed., • Assist with company events, meetings, and internal coordination efforts., • Enter and maintain client notes in CRM systems (e.g., Pipedrive)., • Provide courteous and responsive customer service to internal and external contacts., • Assist with preparing and processing invoices, bills, receipts, credit card expenses, and purchase orders., • Match invoices to purchase orders and packing slips; enter data into the accounting system., • Support vendor account reconciliations and help resolve discrepancies., • Assist with project setup and data entry within accounting systems., • Maintain organized financial records, databases, and filing systems., • Help compile financial reports, spreadsheets, and supporting documentation., • Report discrepancies, errors, or concerns to leadership., • Maintain confidentiality of financial and company information. Minimum Qualifications: • High school diploma or equivalent required., • 12+ years of experience in administrative, or finance support roles., • Basic understanding of bookkeeping and financial transactions., • Proficiency in Microsoft Office Suite (Excel, Word, Outlook)., • Strong organizational skills with attention to detail., • Good verbal and written communication skills., • Ability to multitask and prioritize in a fast-paced environment., • Professional demeanor with a customer service mindset., • Ability to handle sensitive information with discretion. Preferred Qualifications: • Associates degree or higher in Business Administration, Accounting, Office Management, or related field., • Experience in construction, mechanical contracting, HVAC, plumbing, or job cost accounting., • Familiarity with QuickBooks or similar accounting software., • Experience with CRM or project management tools (e.g., Pipedrive).
