Job Description POSITION TITLE: Client Access Scheduler POSITION LOCATION: Peoria Service Center, 507 E Armstrong Ave., Peoria, IL 61603 POSITION STATUS: Non-Exempt/Hourly POSITION SCHEDULE: 40 hours per week: Mondays and Wednesdays 9:30am - 6:00pm, Tuesdays and Thursdays 8:00am - 6:00pm, Fridays 12:00pm - 5:00pm About Us Easterseals Central Illinois is a trusted leader in pediatric therapy, empowering children with developmental delays, disabilities, and special needs to reach their fullest potential. See the Impact: Position Information: Position Objective: The Client Access Scheduler is primarily responsible for collaborating with the Lead Scheduler to schedule all therapy appointment activity processes in their designated area(s), including appointment scheduling and cancellations, changes, and reschedules. This position also acts as secondary client access support. Job Functions: • Scheduling (75%), • Promptly and accurately schedules/reschedules initial evaluations and therapy appointments for all therapy staff in their designated area(s). Works diligently to schedule appointments that best meet access targets., • Enters changes from therapy scheduled when returned and/or confirmed by the therapists., • Makes reminder phone calls and text messages to families for client appointments., • Maintains Google calendar for Child & Family Connections as appropriate., • Client Access (25%), • Assists with clinical and financial correspondence to clients., • Completes appointment reminders and brief pre-appointment health screening when necessary., • Inputs appointment data into patient management software as appropriate., • Tracks cancellation reasons in patient management software., • Updates and maintains schedules for all clinicians., • Acts as backup for front desk staff. Marginal Responsibilities: • Schedules therapy rooms and equipment as needed., • Other duties as assigned. Education/Experience Requirements • High School Diploma or equivalent required., • Minimum of two years of professional office experience preferred. Competency Requirements • Ensures client and family confidentiality by complying with Easterseals policy and procedure, HIPAA (Health Insurance Portability and Accessibility Act) requirements, and any other privacy requirements as may be specified by referral sources, funders, or other licensing and regulatory entities., • Working knowledge of personal computers and software (MS Office Suite). Physical Requirements The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. • Must have visual ability sufficient to read and complete written correspondence, reports, etc., and computer screen information., • Frequent use of hands to grasp, handle, or feel., • Regular standing, walking, sitting, and reaching., • Ability to lift and/or carry up to twenty-five (25) pounds., • Ability to drive to all Easterseals centers and service sites within a 100-mile radius, as needed. Work Environment • Routinely works in office environments with little exposure to excessive noise, dust, temperature., • Lobby environment with exposure to excessive noise, dust, fluctuation in temperature, and consistent interruptions to concentration., • Routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines. Compensation and Benefits: Expected pay for this position is $15 - 17/hour. Actual pay will be determined by experience, skills, and internal equity.
